GPC Philippines Corporation is currently seeking a Property Administrator Full Time. This position will work from 12:00 am to 9:00 AM PHT and applies only to Philippine-based legal residents and citizens.
Work time will shift to better hours over time.
Job Description
The Property Administrator is responsible for supporting the Property Management team in all aspects of commercial property operations, reporting directly to the Senior Operations Manager and serving as a key point of coordination between team members, tenants, and vendors. This role is accountable for providing excellent customer service to tenants, tracking contractual obligations, scheduling vendor work, and maintaining accurate tenant and vendor information across account management systems. The ideal candidate is energetic, driven, and detail-oriented with a can-do attitude, superior time management and multitasking skills, and the ability to thrive in a fast-paced environment while supporting all positions as needed. A solid working knowledge of Windows, Microsoft Outlook, Excel, and Word is required, along with the ability to read and interpret documents such as leases, contracts, and procedure manuals. Candidates should bring 1 to 2 years of experience in real estate or equivalent industry training and possess excellent customer service and interpersonal skills.
Key Responsibilities:
- Monitor company email accounts and respond to inquiries as needed
- Monitor the Prism and Facility Manager work order systems, route each request to the appropriate Property Manager or Building Engineer, follow up with tenants to confirm work was completed satisfactorily, and close out completed work orders
- Enter utility data into ENERGY STAR Portfolio Manager, working with Property Managers to keep building energy data current each quarter
- Communicate with tenants and vendors at the direction of the Property Managers
- Run and distribute accounts receivable reports, and draft and send tenant late notices at the direction of the Property Managers
- Track tenant and vendor insurance compliance by obtaining, filing, and uploading certificates of insurance to Yardi
- Create and maintain property books to ensure current information is always available, updating tenant lists as new leases are signed and vendor lists as new contracts are executed
- Assist Property Managers with administrative tasks associated with property operating budgets
- Maintain and audit building access card systems
- Cross-train with Accounts Payable to understand invoice capture, coding, and routing through the AP platform (AvidXchange) and provide backup coverage as needed
- Add new tenants to the CommercialCafe and Facility Manager portals and communicate login procedures
- Draft and distribute tenant notices and memos as directed by the Property Managers
- Prepare tenant correspondence including new key and fob forms, welcome letters, gym waivers, and similar documents
- Manage scheduling of common area conference rooms
- Support onboarding of newly acquired properties and portfolios by setting up property books, files, and tenant and vendor contacts
- Follow up with vendors on outstanding items including late fees, billing changes, invoice retrieval, past-due amounts, lost checks, and related matters
- Set up and maintain tenant and vendor files on the company S-Drive
- Additional responsibilities as assigned
Qualifications:
- 1 to 2 years of experience in real estate or equivalent industry training
- High school diploma required; a bachelor's degree or progress toward a bachelor's degree from a four-year college or university is preferred
- Working knowledge of Windows, Microsoft Outlook, Excel, and Word
- Ability to read and interpret documents such as leases, contracts, and procedure manuals
- Excellent customer service and interpersonal communication skills
- Superior time management, multitasking, and organizational abilities
- Detail-oriented with a can-do attitude and the ability to work effectively in a fast-paced environment supporting multiple positions as needed
