Project Coordinator

Full-Time | Remote

About the Role

We are seeking a highly organized, detail-oriented, and proactive Project Coordinator to join our scheduling team. This role supports a high-volume scheduling and customer service operation, working closely with builders, field teams, Purchasing, and internal departments to ensure jobs are scheduled accurately and information is communicated efficiently.

The ideal candidate is reliable, adaptable, and comfortable managing multiple priorities in a fast-paced environment. While construction or roofing experience is a plus, strong customer service, attention to detail, good judgment, and the ability to learn and follow established processes are the top priorities.

Key Responsibilities

  • Manage a high volume of scheduling activities and work orders while maintaining accuracy.
  • Coordinate work order and material delivery schedules based on builder requirements and confirmed dates.
  • Communicate directly with builders to confirm schedules, address questions, and provide timely updates.
  • Monitor emails, builder portals, and internal systems for schedule changes, purchase orders, updates, and missing information.
  • Review job details, purchase orders, community notes, and material requirements to ensure information is accurate before scheduling.
  • Coordinate with Purchasing regarding material orders, deliveries, holds, and releases.
  • Work closely with field teams to clarify job details and resolve scheduling or operational issues.
  • Identify potential scheduling conflicts, material issues, or missing information before they impact field operations.
  • Handle escalated builder concerns professionally and coordinate internally to determine the appropriate resolution.
  • Maintain accurate and up-to-date scheduling information across relevant systems.
  • Manage multiple emails, calls, scheduling requests, and data-entry tasks simultaneously.
  • Participate in team and builder meetings as needed and maintain clear communication with internal stakeholders.
  • Proactively communicate changes, discrepancies, and potential issues to the scheduling team and leadership.
  • Follow established processes consistently while using sound judgment when unexpected situations arise.

Required Qualifications

  • Previous experience in project coordination, scheduling, operations coordination, customer service, logistics, construction administration, or a similar role.
  • Demonstrated experience managing high volumes of schedules, transactions, work orders, or data-entry tasks.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management abilities.
  • Experience working with multiple systems, portals, spreadsheets, or databases.
  • Ability to manage competing priorities and meet time-sensitive deadlines.
  • Strong follow-through and ability to work independently.

Preferred Qualifications

  • Experience working with builders, contractors, construction companies, or homebuilding operations.
  • Roofing or construction industry experience.
  • Experience coordinating work orders, material deliveries, or field-service schedules.
  • Familiarity with builder/vendor portals such as SupplyPro, Vendor Suite, or similar systems.
  • Experience reviewing purchase orders, community notes, work orders, or material requirements.
