Position Title: Project Management Officer- VaxHub
Position Summary
The Project Manager will be responsible for the end-to-end planning, coordination, and delivery of VaxHub to St. Joseph Drug Branches
Key Responsibilities
Project Planning & Delivery
- Lead the full project lifecycle for the vaccination hub rollout, from initiation through implementation and transition to steady operations.
- Develop and manage detailed project plans, timelines, milestones, and resource requirements.
- Ensure all deliverables are completed on time, within scope, and aligned with quality and service standards.
- Drive execution discipline across branches and project workstreams to ensure consistent delivery.
Stakeholder Management & Coordination
- Act as the primary liaison among branch teams, senior leadership, healthcare partners, and external stakeholders.
- Coordinate cross-functional collaboration with Operations, HR, Pharmacy, Logistics, Marketing, and IT teams.
- Facilitate regular project meetings, stakeholder updates, and governance reporting.
- Ensure alignment of all parties toward shared implementation goals and readiness timelines.
Operational Execution & Hub Readiness
- Oversee branch preparedness for vaccination hub operations, including workflow setup, site readiness, staffing, and training.
- Ensure compliance with vaccination protocols, patient safety standards, and healthcare service delivery requirements.
- Address operational bottlenecks during setup and go-live phases and drive rapid resolution.
Personnel Readiness, Accreditation & Capability Building
- Monitor personnel requirements to ensure sufficient staffing and vaccinators are available to support hub implementation.
- Oversee and track accreditation status of inoculating pharmacists in compliance with DOH and regulatory standards.
- Coordinate with HR and professional bodies to support certification and credentialing pathways.
- Coordinate with HR on developing initiatives that encourage and enable existing pharmacists to pursue inoculation accreditation, including structured training support and branch engagement activities.
- Maintain a centralized tracker of accredited personnel, identifying gaps and forecasting workforce needs.
- Ensure each vaccination hub is staffed with properly trained and authorized personnel prior to activation.
Risk & Issue Management
- Identify project risks, operational challenges, and dependencies across branches and stakeholders.
- Develop and implement mitigation plans, escalating critical issues as needed.
- Maintain documentation of risks, decisions, action items, and change controls.
Monitoring, Reporting & Continuous Improvement
- Track implementation progress using performance metrics and dashboards.
- Provide clear project reports and updates to leadership and stakeholders.
- Capture lessons learned and recommend improvements for future expansion and sustainability.
