About the Job
We are looking for an exceptional, highly accountable Project Manager who knows U.S. high-end residential kitchen and bathroom remodeling firsthand. You will remotely lead sold projects from sales handoff through final closeout, keeping aligned project scope, client selections, materials ordering and inspections, installers and other trade partners, schedules, budgets, documentation, and client communication.
We are looking for someone who has already managed complex U.S. high-end residential kitchen and bathroom remodeling projects, understands how field conditions affect production, anticipates problems before they reach the jobsite, and takes ownership until every commitment is closed.
Primary Responsibilities
1. Sales-to-Production Handoff
- Audit each sold proposal, design, allowance, selection, payment milestone, and client commitment for completeness and internal consistency.
- Identify gaps, conflicts, exclusions, long-lead risks, and permit or licensed-trade needs; drive resolution before scheduling.
- Lead the internal project review and measurement-preparation process with the Design Consultant and Field Supervisor.
2. Scope, Measurements & Production Planning
- Coordinate measurement appointments and ensure field measurements, photos, drawings, site conditions, appliance specifications, and access constraints are documented.
- Build a clear, installation-ready Scope of Work in Buildertrend, with responsibilities, sequencing, assumptions, and quality expectations defined.
- Develop the baseline schedule, critical path, milestone dates, procurement plan, and client-facing Gantt chart.
3. Procurement & Material Readiness
- Create accurate material order lists from approved drawings, specifications, measurements, and selections; place or coordinate orders with approved U.S. suppliers.
- Track acknowledgments, lead times, backorders, substitutions, freight, damages, shortages, and returns through resolution.
- Coordinate remotely with warehouse and field personnel to ensure materials are received, inspected, labeled, staged, and verified before installation.
- Maintain the Ordered Project Cost Analysis and escalate cost or margin variance immediately.
4. Installation Readiness & Scheduling
- Confirm the assigned lead installer/trade partners, agreed labor cost, start date, project duration, permits, materials, drawings, and site prerequisites.
- Schedule and prepare the pre-construction walk with the client, Field Supervisor, and lead installer.
- Coordinate cabinet, countertop, plumbing, electrical, gas, tile, glass, paint, and other work in the correct sequence.
5. Active Project Leadership
- Manage 10-20 active projects through daily review of Buildertrend logs, jobsite photos/videos, schedule progress, open decisions, material needs, and client commitments, through all three channels of communication (i.e., phone, text, and email) with clients, field supervisors, and installers.
- Run disciplined project review meetings and maintain a written accountability owner, due date, and next action for every issue.
- Communicate proactively with clients and internal stakeholders (e.g., field supervisors and installer); reset expectations early when conditions change.
- Coordinate rapid resolution of field issues, unforeseen conditions, and change orders without authorizing unapproved scope or cost.
6. Cost Control, Quality & Closeout
- Protect the sold scope and planned gross margin by controlling labor, materials, change orders, credits, reorders, and avoidable expedites.
- Drive punch-list completion, client acceptance, final documentation, invoice review, warranty handoff, and collection milestones.
- Complete the Finished Project Cost Analysis, confirm installer invoices match approved scope, and close the project accurately in Buildertrend.
- Capture lessons learned and implement process improvements that reduce cycle time and repeat defects.
Required Qualifications
- 3 to 5+ years of hands-on project management experience specifically with U.S.-based, high-end residential kitchen and bathroom remodeling projects.
- Demonstrated responsibility for projects from sold handoff through procurement, construction, punch, and closeout - not only scheduling, customer service, estimating, or administrative support.
- Working knowledge of cabinetry, countertops, tile, plumbing, electrical, gas, flooring, drywall, paint, appliances, shower systems, glass, and common remodeling sequencing and field risks.
- Proven ability to manage 10-20 projects concurrently without losing details, deadlines, client commitments, or financial visibility.
- Strong Buildertrend or comparable U.S. construction project-management software experience; ability to become highly proficient in Buildertrend quickly.
- Advanced spreadsheet competence, including cost tracking, variance review, filters, lookups, and project-level reporting.
- Excellent spoken and written English suitable for confident, polished communication with U.S. homeowners, installers, suppliers, and leadership.
- Reliable high-speed internet, professional home workspace, dependable computer/headset, and backup plans for internet and power interruptions.
- Ability to work a consistent schedule with substantial overlap during U.S. Eastern business hours and to respond appropriately to time-sensitive project issues.
Systems & Working Rhythm
- Buildertrend: schedule, documents, daily logs, photos, purchase/order records, client communication, change orders, and closeout.
- Microsoft Excel and Microsoft 365: project cost analysis, trackers, reporting, meetings, and collaboration.
- Weekly project reviews, daily active-project monitoring, disciplined follow-up, and real-time escalation of blockers.
- Virtual meetings, phone calls, and written communication with U.S. clients, suppliers, installers, and internal leaders.
