Job Summary

The Project Manager / Project In Charge is responsible for overseeing the monitoring, coordination, and governance of multiple projects across the organization. This role ensures projects remain on schedule, within scope, and aligned with organizational objectives by maintaining accurate project tracking, monitoring risks, coordinating stakeholders, and supporting project governance and CAPEX initiatives. The position serves as a central point of coordination, ensuring project visibility, reporting accuracy, and continuous operational improvement.

Key Responsibilities

  • Monitor and maintain visibility of all active, ongoing, and pipeline projects across the organization.
  • Ensure each project has clearly assigned owners, defined timelines, milestones, and updated status reports.
  • Track project progress and proactively identify delays, risks, issues, and activities requiring escalation.
  • Coordinate with project owners, business stakeholders, and cross-functional teams to ensure timely project execution and completion.
  • Maintain and update the organization's Project List and CAPEX Tracker with accurate and timely project information.
  • Validate project records, including completion percentages, milestone achievements, target dates, budgets, and risk assessments.
  • Follow up on overdue deliverables, unresolved action items, and inactive projects.
  • Consolidate project updates into executive dashboards, management reports, and project summaries.
  • Monitor CAPEX-related projects, including budget utilization, approval status, and implementation progress.
  • Coordinate with Finance, the CAPEX Committee, and project stakeholders to ensure alignment on project budgets and approvals.
  • Manage and support automated project tracking systems and reporting dashboards.
  • Coordinate with IT and automation teams to improve reporting accuracy, workflow efficiency, and system enhancements.
  • Ensure project dashboards accurately reflect current project status and performance metrics.
  • Prepare weekly project monitoring reports, monthly executive dashboards, escalation reports, and risk summaries.
  • Highlight high-risk initiatives, operational bottlenecks, overdue projects, and items requiring management attention.
  • Maintain escalation logs, governance records, action trackers, and project documentation repositories.
  • Standardize project reporting templates, governance documentation, and monitoring processes.
  • Promote compliance with project governance standards, reporting timelines, and organizational policies.
  • Support internal and external audits by maintaining complete and organized project documentation.
  • Recommend continuous improvements to project monitoring processes, reporting methodologies, and governance practices.
  • Collaborate with cross-functional departments including Finance, IT, HR, Facilities, Administration, Security, and Operations to ensure successful project delivery.

Qualifications

  • Bachelor's degree in Business Administration, Project Management, Engineering, Information Technology, or a related field.
  • Minimum of 3–5 years of experience in project coordination, project management, PMO, or a related role.
  • Strong understanding of project management methodologies and governance practices.
  • Experience managing project trackers, dashboards, CAPEX monitoring, and executive reporting.
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint. Experience with project management tools (e.g., Microsoft Project, Smartsheet, Jira, Monday.com, Asana, or similar) is an advantage.
  • Excellent analytical, organizational, and problem-solving skills.
  • Strong communication and stakeholder management abilities.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • High attention to detail with strong documentation and reporting skills.
