Role Overview
We are looking for a strategic and detail-oriented Project Manager – Digital Operations to serve as the critical bridge between Solviva's business teams and the digital/technology team. This role acts as a filter and translator—taking raw requirements and requests from internal stakeholders (Sales, Operations, Finance, HR, CX), refining them into clear, actionable specifications, and ensuring the technical team can deliver with speed, precision, and minimal rework. The ideal candidate combines strong project management discipline with enough technical literacy to speak both business and tech fluently.
Key Responsibilities and Deliverables
1. Requirements Gathering & Refinement
- Serve as the single point of contact for all internal teams submitting requests to the digital/technology team.
- Conduct structured intake sessions with stakeholders to understand business objectives, pain points, and desired outcomes.
- Translate ambiguous or incomplete business requests into well-defined requirements documents, user stories, and acceptance criteria.
- Challenge and refine incoming requests to ensure alignment with company priorities, technical feasibility, and resource availability.
- Maintain a centralized request backlog with proper prioritization, categorization, and status tracking.
2. Project Planning & Execution
- Define project scopes, timelines, milestones, and deliverables for all digital initiatives—from ERP enhancements to automation builds and system integrations.
- Create and manage project plans using Agile/Scrum or Kanban methodologies, adapted to the pace of a startup.
- Coordinate sprint planning, daily standups, and retrospectives with the digital team to ensure predictable delivery cadence.
- Monitor project progress, identify risks and blockers early, and implement corrective actions to keep delivery on track.
3. SLA Management & Process Governance
- Establish and enforce Service Level Agreements (SLAs) for request turnaround times, based on priority tiers (critical, high, medium, low).
- Design and implement a standardized request submission and approval workflow to eliminate ad-hoc or unclear requests.
- Track SLA compliance, delivery velocity, and team capacity metrics; report on performance to leadership.
- Continuously improve internal processes to reduce cycle time from request to deployment.
4. Stakeholder Communication & Alignment
- Provide regular status updates to requestors and leadership, ensuring full transparency on progress, timelines, and any scope changes.
- Facilitate prioritization discussions when competing requests arise, working with department heads and leadership to make trade-off decisions.
- Manage stakeholder expectations by clearly communicating technical constraints, dependencies, and realistic delivery timelines.
- Conduct post-deployment reviews with stakeholders to validate that delivered solutions meet business requirements.
5. Quality Assurance & Handoff
- Ensure all deliverables pass through proper quality checks, including UAT (User Acceptance Testing) sign-off from requesting teams before deployment.
- Own the definition of done for every project—ensuring documentation, training materials, and handoff notes are completed.
- Coordinate with the Odoo ERP Specialist and Data Analyst to ensure cross-functional alignment on system changes and data impacts.
Qualifications and Skills
Education & Experience
- Education: Bachelor's degree in Business Administration, Information Technology, Industrial Engineering, Project Management, or a related field.
- Experience: 4–7+ years of project management experience, with at least 2 years managing digital, IT, or software delivery projects.
- Track Record: Demonstrated ability to manage cross-functional projects involving business process improvement, ERP systems, or digital transformation initiatives.
- Certification: PMP, PRINCE2, CSM (Certified ScrumMaster), or equivalent certification is highly preferred.
Technical Literacy
- Familiarity with ERP systems (Odoo preferred), CRM platforms, and workflow automation tools.
- Working knowledge of Agile/Scrum frameworks and project management tools (Jira, Asana, Monday.com, or Odoo Project).
- Ability to read and interpret basic technical documents, API documentation, and system architecture diagrams.
- Understanding of software development lifecycle (SDLC) and deployment processes.
Soft Skills & Competencies

- Communication: Clear, concise verbal and written communication skills to manage expectations across technical and non-technical audiences.
- Prioritization: Strong organizational skills to juggle multiple projects simultaneously without dropped balls.
- Problem-Solving: Proven ability to navigate ambiguity, resolve conflicts, and drive decisions in a fast-paced startup setting.
- Stakeholder Management: A collaborative mindset with the confidence to push back on unclear requests and hold teams accountable to deadlines.

- Background in business analysis (BA) or systems analysis.
- Exposure to data governance or analytics project coordination.
