The Role

organized, proactive professional who thrives in fast-paced environments and enjoys coordinating people, priorities, and projects to ensure successful outcomes.

You'll play a key role in overseeing client work requests, managing workflows, balancing team capacity, improving operational processes, and ensuring projects move efficiently from intake through completion while supporting cross-functional collaboration.

Environment: International Teams.

Language: Advanced English (B2+ - C1).

Timezone: Monday to Friday – 8:00 AM – 5:00 PM PST.

Requirements

  • Education: Bachelor's degree in Business Administration, Project Management, Operations Management, Industrial Engineering, or related field preferred.
  • Experience: 5–7 years of experience in Project Management, Project Coordination, Operations, Workflow Management, or similar roles.

Responsibilities

  • Work Planning & Assignment
  • Review incoming client work requests
  • Break work into clear, actionable tasks
  • Assign work based on team member skillsets, roles, and availability
  • Ensure scope, timelines, and budgets are clearly defined
  • Monitor capacity and rebalance workloads as needed
  • Client Plan Oversight & Prioritization
  • Maintain visibility across all active client matters
  • Evaluate how new requests impact existing priorities
  • Recommend what should be:
    • Prioritized
    • Deferred
    • Re-scoped
    • Oversee projects from intake through completion
    • Track progress across multiple concurrent projects
    • Identify delays, risks, and bottlenecks
    • Ensure accountability and follow-through
    • Solve problems before they escalate
    • Serve as the central point of coordination between:
      • Attorneys
      • Operations
      • Sales
      • Client Services
      • Leadership
      • Identify workflow inefficiencies
      • Recommend and implement process improvements
      • Leverage technology to streamline administrative work
      • Help build scalable systems and operating procedures
      • Reduce friction for both clients and internal teams
      • Track project status and workload
      • Monitor capacity and workflow metrics
      • Identify potential project risks
      • Provide reporting and insights to leadership
    • Communicate shifting priorities and project updates
    • Ensure team members have the information needed to execute effectively
