Job Description

Assistant Project Manager – Delivery, Change & Business Readiness (FFP)

Reporting Line Reports to: Delivery Lead, Future Finance Programme (FFP)

Role Purpose

The Assistant Project Manager will provide end-to-end project management, delivery coordination, change management, and business readiness support across the Future Finance Programme (FFP), including Oracle ERP implementation, Finance Transformation, Coupa integration, Process & Controls uplift, Data Migration, Testing, and Business Adoption initiatives.

The role acts as a force multiplier for the Delivery Lead by driving programme governance, coordinating stakeholders, managing risks and dependencies, supporting business readiness activities, and ensuring successful adoption of new processes, controls, and technology solutions across Finance and related business functions.

The individual will work closely with Finance, Technology, PMO, Central Programme Teams, Vendors, Systems Integrators, and Business SMEs to maintain delivery momentum, support organizational readiness, and ensure successful programme outcomes.

Key Responsibilities

1. Programme Delivery & Governance

  • Support the Delivery Lead in managing day-to-day programme execution.
  • Maintain integrated project plans, milestones, dependencies, and delivery trackers.
  • Coordinate governance forums, working groups, steering committees, and programme reviews.
  • Monitor programme health and escalate issues requiring management attention.
  • Ensure actions, decisions, and commitments are documented and tracked to closure.
  • Prepare executive reporting packs, dashboards, status updates, and governance materials.

2. RAID & Dependency Management

  • Maintain programme RAID logs (Risks, Assumptions, Issues, and Dependencies).
  • Coordinate issue resolution activities across business and technology teams.
  • Escalate risks proactively and track mitigation actions through closure.
  • Support impact assessments related to scope, schedule, budget, quality, and business readiness.
  • Identify and manage business readiness risks that could impact transition stage gates or go-live activities

3. Stakeholder Management & Communications

  • Drive the daily standup for the Team
  • Coordinate engagement across Finance, Technology, PMO, Group stakeholders, vendors, and business users.
  • Assist in the creation and development of assigned weekly reporting decks.
  • Prepare stakeholder communications and executive steering committee updates.
  • Support programme branding, engagement, and awareness initiatives.
  • Drive alignment across workstreams and ensure timely follow-up of actions and deliverables.

4. Change Management & Business Readiness

  • Support development and execution of Change Management Plans.
  • Conduct Change Impact Assessments (CIA), Business Impact Assessments (BIA), and Business Readiness activities.
  • Manage readiness assessments and readiness checkpoints across impacted business units.
  • Coordinate business readiness stage gates, go/no-go activities, and deployment readiness reviews.
  • Support adoption planning and solution transition activities.
  • Track readiness metrics and escalate readiness concerns.

5. Training, Communications & Adoption

  • Coordinate development and rollout of training materials.
  • Support training delivery, validation, and stakeholder feedback activities.
  • Assist with communication planning and execution.
  • Monitor adoption metrics, engagement activities, and survey results.

6. Project Planning & Delivery Tracking

  • Develop and maintain detailed project schedules.
  • Track deliverables against baseline plans and agreed milestones.
  • Monitor critical path activities and schedule risks.
  • Support dependency mapping across Oracle, Coupa, AHCS, ODS, SmartStream/TLM, Workday, and related initiatives.
  • Coordinate workshops and document outcomes and decisions.

7. Testing, Deployment & Go-Live Readiness

  • Coordinate SIT, UAT, Dress Rehearsal, and Go-Live readiness activities.
  • Track test preparation, defect management, sign-offs, and readiness criteria.
  • Support planning and execution of dry runs and deployment readiness activities.
  • Consolidate testing status reporting and readiness assessments.
  • Assist in preparation of cutover and deployment plans.

8. Data Migration & Business Support

  • Track business requirements, fit-gap actions, design decisions, and sign-offs.
  • Monitor migration readiness activities and key checkpoints.
  • Support business validation activities and stakeholder sign-offs.
  • Ensure business impacts and process changes are documented and communicated.

9. Reporting & Documentation

  • Produce weekly status reports, dashboards, executive updates, and management presentations.
  • Produce meeting minutes with clear decisions, ownership, actions, and timelines.
  • Maintain project repositories and programme documentation.
  • Ensure audit-ready documentation and traceability of programme artifacts.
  • Support governance documentation, change logs, and evidence repositories.

10. Vendor, Resource & PMO Support

  • Coordinate activities between internal teams and external implementation partners.
  • Track vendor deliverables and contractual milestones.
  • Support onboarding and coordination of contingent workers and project resources.
  • Assist with resource planning, capacity tracking, and PMO activities.

11. Continuous Improvement

  • Identify process improvement and automation opportunities.
  • Standardize governance, reporting, and delivery practices.
  • Capture lessons learned and contribute to knowledge management activities.
  • Promote best practices across project management, change management, and business readiness disciplines.

Success Measures

The role will be measured on:

  • Timely delivery of programme activities and milestones.
  • Effective management and closure of RAID items.
  • Business readiness and adoption outcomes.
  • Quality and timeliness of governance and reporting materials.
  • Stakeholder engagement and satisfaction.
  • Testing and deployment readiness.
  • Quality of programme documentation and controls.
  • Successful delivery of change, communications, training, and adoption activities.

Qualifications & Experience

Required

  • Bachelor's Degree in Business, Finance, Accounting, Technology, Engineering, Organizational Change, Communications, or a related discipline.
  • 2+ years of project management, PMO, business readiness, change management, or transformation delivery experience.
  • Strong PowerPoint, Excel, documentation, and presentation skills.
  • Strong experience in governance, planning, stakeholder management, communications, and reporting.
  • Excellent communication and stakeholder engagement capabilities.
  • Experience supporting large-scale Finance, ERP, Digital, or Technology transformation programmes.
  • Experience supporting business readiness, training, adoption, and change initiatives.

Preferred

  • Finance Transformation experience.
  • Oracle Cloud ERP implementation experience.
  • Insurance or Financial Services industry experience.
  • Experience with Coupa, Workday, AHCS, SmartStream/TLM, or related enterprise platforms.
  • Experience in testing, business analysis, PMO, or change management functions.
  • PMP, Prince2, Agile, PROSCI, APMG Change Management, or equivalent certifications.
