The Project Coordinator performs the assigned administrative tasks for the project owner and its members for the smooth execution of the project(s). This includes, but not limited to:
• Organizing/attending/participating in stakeholder meetings and engagement activities; documenting and following up on important actions and decisions from meetings.
• Preparing necessary reports, presentation materials and briefs for meetings; providing other administrative support as needed.
• Undertaking project tasks as required; ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
• Ensuring that stakeholder views are managed towards the project charter/goals/plans.
• Scheduling meetings and distributing the agenda/minutes to all project team members.
• Monitoring and following up on project deliverables to support the completion/submission of the same on time.
• Acting as the point of contact between the concerned executives and internal/external stakeholders.
• Undertaking the tasks of receiving calls, taking messages and routing correspondences.
• Maintaining the Project Owner diary, coordinating meetings and appointments and providing reminders.
• Making travel arrangements for the Project Owner and his/her key stakeholders.
• Taking dictation and minutes and accurately keeping record or data.
• Requisitioning/maintaining/safekeeping adequate office supplies; coordinating with Procurement in obtaining other goods and services that may be required on special projects
• Maintaining an efficient documentation and filing system.
Qualifications
• Minimum 3 years of professional project management experience, with at least 2 years leading and directing project tasks.
• Experience in managing Member Orchestration and Marketing Campaigns strongly preferred.
• Demonstrated ability to manage multiple complex projects and cross-functional teams simultaneously.
• Strong understanding of CMS marketing guidelines and healthcare regulatory compliance.
• Proficient in project management systems such as Workfront, Smartsheet, or Asana.
• Excellent communication, collaboration, and stakeholder management skills.
• Project Management Professional or Agile certification preferred but not required.
