Job Description
Role Summary
The Project Coordinator is responsible for tracking, consolidating, and reporting the status of the organization's project portfolio, as well as ongoing operations and implementation activities. This role acts as the central point of visibility for the CEO, ensuring accurate, timely, and clear reporting across all active initiatives. This is a mid-level position suited to a capable, organized professional — not a senior/executive-level hire — focused on coordination, tracking, and reporting rather than strategic portfolio ownership or large-team management.
Key Responsibilities
Project & Portfolio Oversight
- Maintain a consolidated view of all active projects, including timelines, milestones, budgets, and risks.
- Track project progress against plans and flag delays, risks, or resource issues early.
- Coordinate with project leads/teams to gather updates and ensure data accuracy.
- Maintain a portfolio-level dashboard or tracker for at-a-glance status visibility.
Operations & Implementation Reporting
- Monitor the status of ongoing operations and implementation workstreams.
- Collect and consolidate updates from operations and implementation teams.
- Identify bottlenecks, delays, or issues in implementation and escalate as needed.
- Maintain standardized status reports for operational activities.
Reporting to the CEO
- Prepare and deliver regular (e.g., weekly/bi-weekly) status reports summarizing project, operations, and implementation performance.
- Translate detailed project/operations data into clear, executive-level summaries.
- Highlight risks, blockers, and decisions needed from leadership.
- Respond to ad hoc requests for status updates or specific portfolio information.
Coordination & Process
- Ensure consistent reporting formats and cadences across teams.
- Follow up with project/ops leads to close gaps in reporting or missed deadlines.
- Support basic process improvements for tracking and reporting efficiency.
- Maintain documentation of project and portfolio status history.
Qualifications
Required:
- Bachelor's degree in Business, Management, or related field (or equivalent practical experience).
- 2–4 years of experience in project coordination, project management, PMO support, or operations reporting.
- Strong organizational skills with keen attention to detail.
- Proficiency in spreadsheets (e.g., Excel, Google Sheets) and experience using AI tools to develop reports and streamline document sharing with teams and the CEO.
- Clear written and verbal communication skills, with the ability to summarize information for executive audiences.
- Ability to manage multiple workstreams and follow up independently with stakeholders.
Preferred (nice-to-have, not required):
- Familiarity with project management fundamentals or basic PM tools/methodologies (e.g., Agile, Waterfall basics).
- Experience preparing status reports or dashboards for leadership.
- Background in operations or implementation coordination.
