Role Overview

The Project Coordinator plays a key supporting role within the Project Management and Business Operations teams, helping drive the successful execution of initiatives, particularly those involving AI integration, change management, and process optimization. This role is ideal for someone highly organized, detail-oriented, and eager to grow within a dynamic environment that collaborates across multiple departments.

You will help streamline project delivery by tracking progress, maintaining documentation, coordinating stakeholders, and ensuring communication flows clearly and consistently. The ideal candidate is a strong storyteller with excellent communication skills, able to build relationships and demonstrate executive presence.

Key Responsibilities

  • Support Project Managers and Business Leaders in planning, coordinating, and executing projects, including AI-enabled initiatives and simulation activities.
  • Track project milestones, deliverables, and action items while ensuring deadlines are met.
  • Facilitate meeting logistics: schedule sessions, prepare agendas, and capture structured and detailed meeting notes.
  • Maintain and update project documentation, task ownership, RAID logs, and progress dashboards across PM tools.
  • Partner with cross-functional teams to gather updates, clarify requirements, and align on expectations.
  • Assist in preparing executive-ready reports, presentations, and project status summaries.
  • Help support change management activities related to new processes, systems, and AI adoption.
  • Monitor risks, dependencies, and blockers, escalating as needed to project leadership.

Qualifications

  • Bachelor's degree or equivalent experience in Business, Communications, Technology, or a related field.
  • 12 years of experience in project coordination, business operations, or a similar support role preferred.
  • Strong organizational skills, with the ability to manage multiple streams of work in a fast-paced setting.
  • Excellent written and verbal communication skills; able to convey updates clearly, synthesize information, and tell a compelling story.
  • Strong interpersonal skills with the ability to build relationships and collaborate with stakeholders at all levels.
  • Proficiency in Microsoft Office Suite and project management tools (e.g., Smartsheet, Asana, Jira, or similar).

Preferred Skills

  • Exposure to AI-related projects, AI integration, or AI-driven simulations.
  • Familiarity with change management or digital transformation initiatives.
  • Experience coordinating cross-functional teams and managing inter-department communication.
  • Ability to demonstrate executive presence when presenting or reporting to leadership.
  • Comfortable managing shifting priorities in an ambiguous, evolving environment.
