Job Description

The Role:

We're seeking a ProjectCoordinator. This role is designed for a highly organized professional who enjoys coordinating projects, supporting customer onboarding, and collaborating across multiple teams. You'll play a key role in ensuring customer implementations run smoothly by managing project administration, coordinating meetings, maintaining documentation, and keeping onboarding projects on track.

Location: Must be in Philippines– Remote.

Environment: Philippine and International Teams.

Language: Advanced English (B2+ - C1).

Timezone: Monday to Friday – 9:00 AM – 6:00 PM EST.

Contract: Non-fixed Term Colombian Contract.

Requirements:

  • Education: Bachelor's degree or technical studies in Business Administration, Project Management, Operations, Customer Success, or a related field (preferred).
  • Experience: 2–5 years of experience in project coordination, administrative support, customer success, operations, or implementation support. Experience in SaaS or technology environments is a plus.
  • Skills: Excellent written and verbal communication, project coordination, customer communication, calendar management, documentation, organization, time management, problem-solving, follow-through, and cross-functional collaboration. Proficiency with Microsoft Office or Google Workspace. Experience with CRM systems (Salesforce, HubSpot, etc.) and project management tools such as Asana, Monday.com, Jira, ClickUp, GuideCX, or Smartsheet is preferred.
  • Characteristics: Highly organized, detail-oriented, proactive, customer-focused, adaptable, able to manage multiple priorities simultaneously, and committed to delivering high-quality work.

Responsibilities:

Project Administration

  • Create and maintain onboarding projects in project management software
  • Update implementation trackers and customer records
  • Prepare customer documentation and onboarding materials
  • Keep CRM and project systems current
  • Track project status and identify risks or delays

Customer Coordination

  • Schedule kickoff meetings and recurring implementation calls
  • Send meeting agendas and follow-up notes
  • Monitor onboarding timelines and project milestones
  • Ensure customer action items are completed on time
  • Respond to routine customer questions or route them to the appropriate team member

Internal Coordination

  • Coordinate with Sales, Support, Product, Engineering, Finance, and Customer Success
  • Assist onboarding managers with resource scheduling
  • Help prepare implementation reports and dashboards
  • Escalate blockers that may impact project timelines

Documentation

  • Maintain onboarding playbooks and SOPs
  • Organize customer documentation
  • Assist in creating knowledge base articles
  • Document implementation processes and lessons learned

Administrative Support

  • Prepare presentations and customer-facing materials
  • Organize shared folders and project documentation
  • Track customer training completion
  • Assist with invoicing or contract-related administrative tasks as needed
