About the Role

Alba Renewables is looking for a highly organized and proactive Project Coordinator for Business Development & Procurement to join our Business Development team.

This is a managerial-level individual contributor role responsible for coordinating Business Development activities and managing procurement workstreams across the organization, including both regular corporate procurement requirements and project/construction-related procurement.

The role will work closely with Business Development, Engineering, Construction, Finance, Legal, HR, and other corporate functions, as well as external vendors, contractors, consultants, and business partners.

While the position has no direct reports, it carries significant ownership and coordination responsibilities. The successful candidate will be expected to manage multiple priorities, work effectively across different functions, manage procurement activities end-to-end, maintain strong vendor relationships, coordinate cross-functional stakeholders, monitor timelines and deliverables, and ensure that procurement requirements are completed efficiently, cost-effectively, and in accordance with company policies.

For project-related requirements, the role will also support procurement activities for construction projects, including sourcing materials, equipment, contractors, EPC-related services, and other project requirements.

Key Responsibilities

1. Business Development Support

  • Coordinate project pipeline activities, including tracking opportunities, timelines, milestones, and deliverables for prospective and awarded projects.
  • Support the preparation of proposals, bid documents, feasibility inputs, and partner/stakeholder materials.
  • Coordinate with technical, legal, finance, and other teams to ensure timely completion of BD deliverables.
  • Maintain BD action trackers and follow up with internal and external stakeholders.
  • Identify potential delays, risks, and dependencies and escalate issues to leadership.
  • Support due diligence activities for new project opportunities, including coordination with partners, authorities, consultants, and other stakeholders in Vietnam and other markets.

2. Company-Wide Procurement & Vendor Management

  • Manage and coordinate the company's day-to-day procurement requirements across corporate and operational functions.
  • Coordinate the sourcing of goods and services, including identifying potential suppliers, obtaining quotations, preparing RFQs/RFPs, and supporting vendor evaluation.
  • Maintain an organized and up-to-date database of suppliers and service providers.
  • Coordinate vendor onboarding and ensure required documentation and approvals are completed.
  • Evaluate quotations and proposals based on cost, quality, specifications, delivery timelines, and other relevant requirements.
  • Coordinate with requesting departments, Finance, Legal, and other stakeholders to ensure procurement requirements are properly reviewed and approved.
  • Facilitate the preparation and processing of purchase orders, contracts, and vendor agreements.
  • Monitor supplier performance, delivery timelines, quality, pricing, and service levels.
  • Address procurement issues and coordinate with vendors and internal stakeholders to resolve delays or other concerns.
  • Support the development and continuous improvement of procurement procedures, templates, controls, and vendor management practices.
  • Maintain complete, accurate, and audit-ready procurement records.

3. Project & Construction Procurement

  • Coordinate procurement activities supporting Alba Renewables construction and development projects.
  • Support sourcing for materials, equipment, contractors, consultants, EPC-related services, and other project requirements.
  • Prepare and coordinate RFQs/RFPs and support bid evaluation and vendor selection processes.
  • Maintain project procurement trackers and schedules and ensure alignment with construction milestones.
  • Coordinate with Engineering, Construction, Business Development, Finance, and Legal teams to ensure project procurement requirements are delivered on time.
  • Support vendor and contractor performance monitoring, including tracking cost, quality, and schedule issues.
  • Help ensure project procurement activities comply with company policies and applicable regulatory requirements.

4. Project & Cross-Functional Coordination

  • Serve as a coordination point between Business Development, Procurement, Engineering, Construction, Finance, Legal, and other relevant functions.
  • Develop and maintain project schedules, action logs, procurement trackers, and status reports.
  • Organize internal and external meetings, including preparation of agendas, minutes, and action items.
  • Follow up with stakeholders to ensure commitments and deliverables are completed on time.
  • Identify risks, dependencies, bottlenecks, and competing priorities and proactively coordinate solutions.
  • Provide regular updates to management on procurement and BD activities, outstanding issues, and key risks.

5. Vietnam & Regional Project Support

  • Provide coordination support for Alba Renewables projects and procurement activities in Vietnam.
  • Liaise with local vendors, contractors, partners, consultants, and project teams.
  • Travel to Vietnam and other project locations as required for site coordination, vendor meetings, procurement activities, and project reviews.
  • Develop familiarity with local procurement practices, import/customs considerations, and regulatory requirements relevant to Vietnam and other Southeast Asian markets.

6. Reporting, Documentation & Process Improvement

  • Prepare regular procurement and BD reports and dashboards for management.
  • Maintain organized and audit-ready records for procurement activities, BD opportunities, vendor documentation, contracts, and project requirements.
  • Monitor procurement timelines, spending, outstanding requirements, and vendor deliverables.
  • Identify opportunities to improve procurement processes, tools, templates, and controls.
  • Support the development of more efficient and transparent procurement practices across the organization.

Qualifications & Experience:

  • Bachelor's degree in Engineering, Construction Management, Business Administration, Supply Chain, Procurement, or a related field.
  • 5–8 years of experience in project coordination, procurement, project management, or a related field.
  • Experience in procurement and vendor management, preferably covering both corporate/operational procurement and project or construction procurement.
  • Experience with sourcing, RFQs/RFPs, quotation evaluation, vendor selection, purchase orders, contracting, and supplier management.
  • Experience supporting procurement for construction, infrastructure, EPC, renewable energy, or other capital projects is an advantage.
  • Exposure to Business Development processes, including proposals, bids, partner coordination, or project development, is strongly preferred.
  • Experience working with teams or suppliers in Vietnam or other Southeast Asian markets is an advantage.
  • PMP, PRINCE2, CIPS, or another relevant professional certification is preferred but not required.
  • Willingness and ability to travel frequently and, when required, on short notice to international project locations.

  • Understanding of construction and EPC procurement concepts is an advantage.

  • Excellent attention to detail and ability to manage multiple concurrent requirements and deadlines.
  • Strong written and verbal communication skills.
  • Ability to prepare clear reports, trackers, dashboards, and management updates.
  • Proficiency in Microsoft Excel, MS Project, SharePoint, or equivalent productivity/project management tools.
  • Proactive, solutions-oriented, and comfortable taking ownership in a fast-moving environment.
  • Strong commercial awareness and sound judgment when dealing with vendors and procurement decisions.
  • Cultural adaptability and ability to work effectively across different Southeast Asian markets.
