As our Project Coordinator & Administrative Support, you'll work closely with leadership and internal teams to coordinate projects, manage workflows, and ensure everything from onboarding to settlements runs seamlessly.

This is a full-time, remote role, ideal for someone who is proactive, detail-driven, and confident managing multiple priorities independently.

Core ResponsibilitiesProject & Operational Coordination

  • Coordinate and track multiple projects from initiation through completion
  • Maintain project timelines, task lists, and clear status updates
  • Schedule meetings, prepare agendas, and capture action-focused notes
  • Follow up on action items to ensure accountability and deadlines are met

Administrative & Leadership Support

  • Manage inboxes, calendars, and internal documentation
  • Prepare reports, presentations, and internal reference materials
  • Provide day-to-day administrative support to leadership
  • Keep systems organised and information easy to access

Onboarding & Marketing Support

  • Coordinate client and partner onboarding processes
  • Prepare, manage, and track onboarding documentation and agreements
  • Ensure onboarding steps are completed accurately and on time
  • Assist with gathering information and drafting case studies
  • Coordinate updates to marketing collateral and internal materials
  • Liaise with internal stakeholders to ensure accuracy and approvals
  • Draft, schedule, and send weekly email communications
  • Maintain email distribution lists and track responses

Settlement Coordination

  • Support settlement processes by managing documentation, timelines, and stakeholders
  • Track settlement milestones and follow up to ensure deadlines are met
  • Act as an administrative point of contact throughout settlements

Process Improvement

  • Identify gaps in workflows and systems
  • Suggest and help implement process improvements to increase efficiency

Role Requirements

  • Proven experience in project coordination, administrative support, or a similar role
  • Strong organisational and time-management skills
  • Excellent written and verbal communication
  • Ability to work independently in a remote environment
  • High attention to detail and accountability
  • Comfortable using tools such as Google Workspace and project management software
  • Reliable internet connection and ability to work remotely full time

Nice to Have

  • Experience working with remote teams
  • Familiarity with tools such as Asana, Monday, ClickUp, or similar
  • Experience supporting executives or senior leadership
  • Exposure to marketing coordination or transaction-based processes
