Job Description

The Project Controller, Admin, and Documentation Assistant is responsible for providing administrative support to ensure efficient project operations.

Provides support to the project to ensure that the division staffs are furnished with the necessary resources

  • Facilitate monthly departmental meetings and produce minutes of meeting
  • Maintain inventory and requisitions of office supplies and equipment
  • Ensure that accountabilities are put into place
  • Facilitate DTR encoding
  • Monitor the utilization of project vehicles
  • Respond to staff requests for administrative support as needed

Provides administrative support to the department to ensure that operations are maintained in an efficient manner

  • Ensure completion of the requirements to job orders and contracts of works to facilitate payment processing

Coordinates all the activities related to conformance with the IMS standards

  • Input document data into the standard registers ensuring that the information is accurate and up to date
  • Generate the various document control reports as required
  • Provide the necessary information pertaining to ISO-related conformances.

Manages the general documents and references of the division ensuring all references and documents are well taken care of in compliance to company policies.

Manage all incoming and outgoing transmittal for the Plant Construction including, but not limited to, drawings, quality non-conformances and inspection reports, site instructions, request for information and letter correspondence going to and from Contractor/s, NGCP and other external stakeholders

Facilitate efficient routing and approval of documents with consideration on priority and urgency as required to keep up on project needs

Keep track of revisions of documents and ensure that team members when such revised submissions are submitted by the contractor
