Key Responsibilities

  • Prepare presentation decks, reports, and briefing materials for project updates and management meetings
  • Review documents, templates, and reports to ensure accuracy, consistency, and quality
  • Maintain project trackers, action logs, deliverables, and implementation schedules
  • Monitor project progress and provide status updates, highlighting risks or pending actions
  • Organize, validate, and consolidate data, documents, and structured content for project readiness
  • Coordinate meetings, workshops, and stakeholder consultations, including agenda preparation, meeting minutes, and follow-up actions
  • Manage calendars, schedules, timelines, and administrative support for project teams
  • Maintain organized document repositories using SharePoint, Microsoft Teams, and OneDrive
  • Support onboarding activities, including access requests, orientation, and documentation
  • Provide basic support for collaboration tools and ensure project documentation is up to date
  • Coordinate with internal stakeholders, consultants, and technical teams to ensure timely completion of project deliverables

Qualifications

  • Bachelor's degree in Business Administration, Project Management, Information Technology, Communications, or a related field
  • Experience in project coordination, executive support, secretariat, or PMO functions
  • Strong organizational, documentation, and administrative skills
  • Experience preparing presentations, reports, meeting minutes, and project documentation
  • Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook)
  • Experience with SharePoint, Microsoft Teams, and OneDrive
  • Excellent communication, stakeholder coordination, and time management skills
  • Ability to manage multiple priorities and work in a fast-paced environment
  • Experience supporting international organizations, government agencies, or development projects is an advantage
