Key Responsibilities
- Prepare presentation decks, reports, and briefing materials for project updates and management meetings
- Review documents, templates, and reports to ensure accuracy, consistency, and quality
- Maintain project trackers, action logs, deliverables, and implementation schedules
- Monitor project progress and provide status updates, highlighting risks or pending actions
- Organize, validate, and consolidate data, documents, and structured content for project readiness
- Coordinate meetings, workshops, and stakeholder consultations, including agenda preparation, meeting minutes, and follow-up actions
- Manage calendars, schedules, timelines, and administrative support for project teams
- Maintain organized document repositories using SharePoint, Microsoft Teams, and OneDrive
- Support onboarding activities, including access requests, orientation, and documentation
- Provide basic support for collaboration tools and ensure project documentation is up to date
- Coordinate with internal stakeholders, consultants, and technical teams to ensure timely completion of project deliverables
Qualifications
- Bachelor's degree in Business Administration, Project Management, Information Technology, Communications, or a related field
- Experience in project coordination, executive support, secretariat, or PMO functions
- Strong organizational, documentation, and administrative skills
- Experience preparing presentations, reports, meeting minutes, and project documentation
- Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook)
- Experience with SharePoint, Microsoft Teams, and OneDrive
- Excellent communication, stakeholder coordination, and time management skills
- Ability to manage multiple priorities and work in a fast-paced environment
- Experience supporting international organizations, government agencies, or development projects is an advantage
