Job Description

Salary Range: Php35,000-Php45,000

Core Purpose:

Provide proactive administrative and project support to the Director and consulting team. Help keep projects on track, follow structured processes, and ensure client systems are built accurately according to requirements.

Key accountabilities:

  • Manage diaries, meetings, and follow-up actions for the Director and consulting team with absolute attention to detail.
  • Track project progress, monitor deadlines, and check all documentation for completeness and accuracy.
  • Assist in configuring and maintaining client systems in Xero and FYI, ensuring all data is entered correctly.
  • Maintain organised records, ensuring that files, notes, and reports are consistently named and stored to standard.
  • Communicate clearly and professionally with clients and the team, verifying details and confirming understanding where needed.

Coordinate travel logistics and meeting arrangements with care, ensuring all details are confirmed and documented.

Key tasks may include, but not be limited to:

Complete tasks at direction of assigned Project Administrator, in line with accordance with FGSA processes and procedures. Specific tasks include:

  • Communicate clearly and professionally with clients and the team, both verbally and in writing, confirming details and making sure everyone is on the same page.
  • Follow FGS processes to help configure and maintain client systems in Xero and FYI, ensuring all information is entered accurately and consistently.
  • Manage your own tasks and track project progress, keeping an eye on deadlines and making sure all documentation is complete and accurate.
  • Take ownership of your own workload, ensuring projects stay on track and raising any potential issues or conflicts early with consultants or the Director.
  • Deliver data analysis and related work to a high standard, aiming for accuracy and minimal rework.
  • Carry out regular project integrity and quality checks, including peer reviews, to help maintain high standards.
  • Keep records well organised so that files, notes, and reports are always easy to find and follow a consistent naming structure.
  • Understand and follow data privacy principles and handle all information with care and confidentiality.
  • Support the Director and consulting team by managing diaries, scheduling meetings, and following up on actions with strong attention to detail.
  • Arrange travel and meeting logistics with care, ensuring all details are confirmed and clearly communicated.
  • Respond promptly and positively to requests from managers and colleagues.
  • Build and maintain strong, trusted relationships within the project team and with clients.

Professional and Technical Expertise and/or background

  • 1 year post degree work experience ideally in a professional or corporate environment. Experience working in a professional services or accounting firm, even as an intern or graduate, would be a great start.
  • A clear communicator who writes and speaks fluent English and enjoys working with people.
  • Confident using Microsoft Office, especially Excel and Word, and you enjoy making data and documents look sharp.
  • Any experience with accounting software is a bonus, and we're happy to help you learn more on the job.
  • Comfortable working with data, spotting patterns, and keeping information accurate and well organised.
  • Naturally process driven, you like following clear steps and getting things right every time.
  • Analytical & curious by nature, you enjoy troubleshooting, solving problems, and following through to completion.
  • Great at managing your time and staying focused on quality outcomes, even when things get busy.
  • Self-motivated and proactive, you know when to take initiative while still working well within a team.
