Job Description

Position: Project Admin Coordinator (Up to 45K)

Schedule: Monday to Friday, 7 AM 4 PM (PH Time)

Work setup: Hybrid

We are seeking a highly organized and detail-oriented Project Admin Coordinator to join our Managed Services business. This role plays a key role in supporting the successful delivery of client IT projects by coordinating schedules, resources, and activities behind the scenes to ensure projects are delivered on time, to scope, and in line with organizational standards.

In This Role, You Will

Project Coordination & Scheduling

  • Coordinate project schedules, resources, and dependencies to ensure timely delivery while minimizing client disruption and maintaining compliance.

Stakeholder & Communication Management

  • Act as the central coordination point across internal teams, vendors, and clients. Maintain clear communication, facilitate meetings, and provide regular status updates.

Resource, Vendor & Procurement Coordination

  • Manage procurement activities including quotes, orders, and deliveries, ensuring alignment with organizational processes and governance.

Project Governance & Documentation

  • Track schedules, milestones, risks, issues, and change records. Ensure all project documentation is accurate, complete, and audit ready.

Technical Contribution

  • Support delivery through hands-on tasks such as Microsoft 365 configuration, identity and access management, telephony changes, and basic automation under guidance.

Quality, Security & Compliance

  • Adhere to change control, security, and quality standards, ensuring all deliverables are properly documented and aligned with best practices.

Were Looking For Someone Who Has

  • Degree in IT or equivalent practical experience
  • 2+ years in IT support, systems administration, or technical delivery
  • Experience delivering IT projects end-to-end
  • Working knowledge of Microsoft 365 and identity/access management
  • Understanding of VoIP/telephony concepts
  • Strong communication, stakeholder management, and documentation skills
  • High attention to detail with a risk- and compliance-focused mindset

Technical Skills

  • Must have a Microsoft certification (e.g., MS-900, MS-700)
  • Experience with 3CX or Access4
  • Exposure to scripting/automation (PowerShell, Power Automate)
  • Experience in procurement/vendor coordination
