Your Role
As a
Project Controls & Finance Manager, you will oversee project controls, financial management, procurement coordination, and reporting across multiple project workstreams. You will ensure project costs, schedules, procurement activities, risks, and financial information are accurately tracked and communicated to leadership.
This role requires someone who can work independently, manage multiple priorities, and provide clear financial and project insights to both financial and non-financial stakeholders.
What You'll Do
- Establish and maintain project control processes covering cost tracking, schedule monitoring, procurement, progress reporting, and risk management across project workstreams.
- Prepare and present weekly, monthly, and annual project reports for the Projects Director and Board, covering cost performance, schedule variances, financial forecasts, and key project risks.
- Lead the administration and acquittal of government grants, ensuring project expenditures are properly allocated, supported by appropriate documentation, and reported in accordance with funding requirements.
- Work closely with the bookkeeper, project managers, and external contractors to prepare milestone claims, invoices, cost allocations, and financial statements.
- Coordinate procurement activities, including RFPs, tender processes, supplier assessments, contract administration, and purchase order management.
- Perform balance sheet reconciliations and cash flow forecasting using Xero, ensuring project-related costs are accurately coded, documented, and approved.
- Develop and maintain project cost trackers, budget models, forecasts, and other financial control tools.
- Monitor project financial performance and identify budget variances, cost pressures, and emerging financial risks.
- Escalate financial, compliance, procurement, and project control issues to the Projects Director with clear recommendations and supporting analysis.
- Ensure project reporting and financial controls are maintained consistently across multiple workstreams.
- Support continuous improvement of project control processes, reporting systems, and financial management practices.
What You Need
Non-negotiables
- 10+ years of experience in project controls, project accounting, financial management, or a closely related discipline.
- Experience working in infrastructure, energy, industrial, construction, or similar project-based environments is strongly preferred.
- Strong knowledge of project accounting, cost management, procurement governance, and financial reporting.
- Demonstrated experience managing or supporting government grant compliance and acquittal processes.
- Strong understanding of project controls, including cost tracking, budget management, forecasting, schedule monitoring, and risk reporting.
- Proficiency with project controls tools, cost management systems, and financial reporting platforms.
- Strong Xero experience, including balance sheet reconciliations, financial reporting, and cash flow forecasting.
- Proven ability to develop and maintain cost trackers, budget models, financial forecasts, and project reports.
- Excellent written and verbal English communication skills, with the ability to present financial and project information clearly to non-financial stakeholders.
- Highly organized, methodical, and proactive, with the ability to manage competing priorities across multiple workstreams.
- Comfortable working with a high degree of autonomy and accountability in a lean, fast-paced environment.
- Demonstrates a high level of integrity, discretion, and professional judgment when handling financial and project information.
