Job Description
Key Responsibilities
Candidate Onboarding Support- Assist Program Specialists and Suppliers with initiating the Candidate Onboarding Process, including collecting required information and coordinating with the Onboarding Team.
- Monitor candidates progress throughout the onboarding process; proactively reach out to candidates or suppliers to expedite steps and ensure timely starts.
- Notify Program Specialists once candidates have successfully cleared the onboarding process.
- Update candidate and assignment information as requested by Program Specialists.
Timesheet, Expense, and Invoice Management- Monitor missing timesheets, expenses, and invoice submissions; follow up with Associates and Managers to ensure approvals are completed by payroll deadlines.
- Send email reminders to Associates and Managers for timely submissions.
- Conduct weekly follow-ups to ensure on-time submission and approval of timesheets.
- Ensure all time, expenses, and invoices are approved by the payroll cut-off deadline.
- Facilitate timesheet uploads in the VMS system (where required).
- Process bonuses, expense reimbursements, and other ad hoc billing requirements in the VMS.
Data Management and Compliance- Assist the Program Team in maintaining accurate data within the VMS and/or client-facing systems.
- Run compliance reports to ensure data integrity (e.g., missing or expired data).
- Facilitate assignment extensions, work order modifications, and assignment terminations within the VMS and/or client-facing systems as directed by Program Specialists or Managers.
End-of-Assignment Management- Assist the Program Team in collecting assets upon worker termination.
- Ensure workers are properly terminated in the system upon completion of their assignment.
