Position Overview
- This position is to support the Head of Production and ensures our suppliers are successfully maintaining a dependable delivery plan. Ensuring the various stages of production are being completed on time, driving mitigation of any issues that threaten completion of orders on time, notifying stakeholders of any unavoidable delays, and ultimately building customer confidence in our ability to meet our promises about product delivery.
Major Responsibilities & Duties:
- Supplier production schedule called Open POs file is generated in our system called Salesforce. You will issue the Open Pos file to each supplier and work will primarily centre around this document with each supplier, monitor the production progress weekly with all suppliers, any changes in dates will needs to be communicated internally and updated in the system in a timely manner. Conceptually the role is to support the Head of Production to manage the production critical path dates, communicate impact, and drive resolution of issues before it results in a delivery failure for the customer.
- Production schedule (Open Pos file) Management
- Review the Production schedule (Open Pos file) for each order ensuring the production and ex factory plan meets the customer delivery expectations. Review the schedule for each order to ensure the critical path dates being met, system is updated weekly.
Supplier Development & Accountability
- Work with the supplier to identify issues that will prevent their successful delivery. Provide both mitigations for each instance, but also your broader perspective on recurring issues that need to be addressed.
Issue Mitigation
- Regardless of the issue cause, whether internally or externally, drive the right people to put appropriate mitigation plans in place to resolve or limit the impact of the issue. For instance, notify the Product Manager to source alternative Raw Materials, communicate internally for air freight the Raw Materials for earlier arrival. Drive order priority changes to ensure a delayed order is still produced on time to meet the customer expectations. Liaise with Shipping/Logistic department for Sea and Air freight plan, focus on factory handover date, vessel ETD and ETA dates to achieve shipping plan efficiency to avoid unnecessary delays that can be impacted to customer delivery dates.
Stakeholder Notification
- Good News is Bad News told early - Proactively keep stakeholders informed of any delays well in advance of their consequences. Let them know about the attempted mitigations, and the resulting delivery plans for the customer as soon as the information becomes clear.
Competencies/ Personal Traits
- Garment manufacturing experience to a level to ensure you can communicate with suppliers with confidence.
- Production planning and management experience.
- Experience in detecting and driving supply mitigations.
- Stakeholder Management.
- Energetic, Positive with can do attitude, high attention to details
- Proficiency in Salesforce/Excel and Google Suite preferred
- Strong written and oral communication skills. You will know how to clearly communicate and manage priorities.
- You will be a structured, system thinker. You will be analysing production schedule and resolving issues with suppliers, this task will be supported by the Head of Production
