Job Description

This role is the front-facing, execution-focused side of our procurement department. You are the person who follows through — chasing vendors, confirming pricing, tracking cases, identifying savings opportunities, and making sure nothing falls through the cracks.

You will work directly alongside our analytical support team member and under the guidance of the Purchasing Director and COO. Communication skills are essential — you will be writing emails, calling, following up with vendors, and interfacing with our internal sales support system on a daily basis.

Role and Responsibilities:

Vendor Follow-Up and Communication

Serve as a consistent point of contact with vendors on open items. Follow up on cases, pricing confirmations, and outstanding requests. Maintain a professional communication standard that reflects well on Prime Source.

Savings Identification and Analysis

Review purchasing data and identify savings opportunities on a case-by-case basis. When current vendors do not offer adequate solutions, research alternatives and present comparisons. Push for better pricing when the spend level warrants it.

Case Management Support

Work within our Salesforce-based sales support system to manage and advance procurement cases. Track open items, update statuses, and ensure every case moves forward without delay.

Vendor Research

When we lack a vendor in a specific category, research and evaluate options. Present findings in a clear, organized format so decisions can be made quickly.

Procurement Documentation Support

Assist with contract data entry, vendor onboarding documentation, and catalogue maintenance. Work alongside our analytical team member on data accuracy and record-keeping.

Required Skills/Abilities:

• Excellent written and verbal English communication skills — professional, clear, and confident

• Strong follow-through and attention to detail — you do what you say you will do

• Comfortable working independently in a remote, fast-moving environment

• Research skills — able to find vendors, compare pricing, and summarize findings

• Familiarity with spreadsheets and data organization (Excel or Google Sheets)

• Experience in procurement support, negotiation, customer service, or operations preferred

• Healthcare or GPO industry background is a plus but not required
