You own purchasing, supplier coordination, and inbound shipment tracking for an Australian retailer that depends on consistent stock flow and accurate cost data. Your work runs end-to-end—from demand planning and purchase order creation through vendor payments, container booking, and customs documentation—and keeps the sales team supplied with the answers they need to close deals.

This is not a narrow procurement role: it spans operations admin, supplier follow-up, logistics tracking, and cross-team coordination. Best suited for highly detail-oriented professionals who thrive on structured workflows—whether your background is procurement, purchasing admin, office administration, or operations support, what matters is that you learn fast, document cleanly, and stay on top of dozens of moving parts at once.

You're Likely a Strong Fit If You Have

• 2+ years in procurement, purchasing admin, office administration, operations support, or a similar detail-driven role
• Proven ability to follow structured processes across multiple workstreams (e.g., PO creation, payments, shipment tracking, vendor follow-up)
• Hands-on proficiency in Microsoft Office (Excel especially) and the ability to learn new purchasing or ERP platforms quickly
• Strong written and verbal English suitable for direct supplier communication and internal coordination
• Demonstrable attention to detail across spreadsheets, invoices, shipping documents, and supplier records
• Willingness to work onsite (Cebu IT Park) on AU day shift (6:00 AM–3:00 PM PH)

Strong Signals

• Prior procurement, purchasing officer, or supplier coordination experience
• Exposure to NetSuite or comparable ERP / inventory management systems
• Familiarity with inbound shipping processes, container booking, or customs documentation
• Experience working with offshore vendors or international suppliers
• Negotiation experience with vendors or service providers
• Degree in accounting, business management, or a related field

Responsibility Pillars

Demand Planning & Purchase Order Management

You own the rhythm of purchasing—from forecasting demand to keeping every open PO on track.

• Run reordering reports and prepare demand planning on a regular cycle
• Create POs and LTAs after reordering reports and on request
• Drive open POs to completion and follow up LTA dates once payment is processed
• Check daily for MTOs requiring approval or reordering, including third-party local suppliers

Vendor Payments & Invoice Processing

You own the cost data and payment flow that keep supplier relationships clean.

• Receive vendor invoices, add to POs, save to the shared drive, and confirm payment in VP
• Add payable amounts to the VP file, follow up on payable invoices, and route approved ones to MR
• Process deposit (VPP) and balance payments through NS
• Create credits for samples, QC-rejected parts, and items received damaged for compensation

Shipment & Logistics Coordination

You own the inbound supply chain from container loading through arrival.

• Organise container loading with vendors and create inbound shipments after loading is finalised
• Book containers with forwarders and follow up on loading and departure
• Action invoices and packing lists from departed containers and manage customs documentation through the forwarder portal
• Update ETD/ETA across INBSHIP, the payment spreadsheet, and the procurement file based on forwarder notices

Inventory, SKU, & Cross-Team Coordination

You keep stock data clean and the sales team unblocked.

• Create SKU codes for new items and parts; check whether any product needs to be outsourced
• Place discontinued items on NR; coordinate alternatives with sales reps when stock is short but SOs exist
• Reallocate MTO machines on request
• Field sales team queries on quotes, current SOs, stock availability, and overseas shipping quotes; support export quotations
• Request and update local supplier pricing at the start of each financial year
