Position Summary
The Purchasing Lead oversees procurement operations supporting Helpdesk, Site Support, and Infrastructure functions. The role ensures timely and cost‑efficient sourcing of IT equipment, peripherals, site materials, network hardware, facilities supplies, and other operational requirements. The Purchasing Lead manages vendor relationships, ensures compliance with procurement standards, optimizes inventory availability, and facilitates seamless procurement workflows across multi‑site environments.
Key Responsibilities
1. Procurement Operations
- Manage end‑to‑end procurement for Helpdesk, Site Support, and Infrastructure requirements.
- Review, validate, and process requests from ticketing systems (ServiceNow, Jira, Zendesk, etc.).
- Source and purchase a wide range of items including:
- IT devices (laptops, desktops, monitors, peripherals)
- Networking equipment (switches, routers, firewalls, cabling)
- Facilities materials (tools, repair materials, maintenance supplies)
- Office and site consumables
- Prepare and issue purchase orders; manage approvals and vendor coordination.
- Track and ensure timely delivery, installation, or deployment of purchased items.
2. Infrastructure & Technical Procurement Support
- Collaborate with Infrastructure teams, IT Engineering, and Facilities for technical procurement requirements.
- Validate technical specifications to ensure compatibility, standards alignment, and compliance.
- Assist in procurement for:
- Network upgrades
- Server room or rack materials
- UPS, power systems, and electrical components
- CCTV, security hardware, and access control systems
- Office build‑out and site expansion equipment
- Support vendor evaluations for infrastructure projects (cabling, site fit‑outs, network installation).
3. Vendor Management & Negotiation
- Identify, evaluate, and onboard qualified suppliers for IT, infrastructure, and site needs.
- Negotiate competitive pricing, delivery terms, warranties, and service agreements.
- Resolve vendor issues, discrepancies, and performance problems.
- Conduct periodic vendor performance assessments and maintain a preferred vendor list.
4. Inventory, Asset, and Site Coordination
- Work closely with Site Support teams to maintain optimal stock levels of IT peripherals, tools, and infrastructure materials.
- Monitor inventory consumption and forecast replenishment requirements.
- Support asset lifecycle processes including deployment, replacement, repair, and decommissioning.
- Coordinate deliveries and ensure accurate documentation for asset tagging and tracking.
5. Compliance, Documentation & Reporting
- Ensure adherence to procurement policies, audit requirements, and internal controls.
- Maintain accurate purchase records, vendor contracts, and technical documentation.
- Support budgeting and cost‑tracking activities for Helpdesk and Infrastructure.
- Produce reports on spending, procurement SLAs, vendor performance, and cost savings.
6. Process Improvement & Workflow Optimization
- Enhance procurement workflows between Helpdesk, Infrastructure, Site Support, and Finance.
- Identify automation opportunities for ticket routing, vendor catalog updates, and approval flows.
- Standardize part catalogs, sourcing templates, and technical specifications.
- Support implementation of procurement tools or digital procurement platforms.
7. Leadership & Cross‑Functional Collaboration
- Provide guidance to junior procurement staff or purchasing coordinators.
- Collaborate with IT, Finance, Facilities, Security, HR, and Operations for cross‑functional needs.
- Participate in planning for site expansions, equipment refresh cycles, and infrastructure initiatives.
Qualifications
Education & Experience
- Bachelor's degree in Business Administration, Supply Chain, Engineering, or related field.
- 3–5+ years of procurement experience, including IT or infrastructure sourcing.
- Experience supporting Helpdesk or Site Support operations is highly preferred.
- Familiarity with networking, IT hardware components, and infrastructure vendors is a strong advantage.
- Experience with ERP or procurement systems (SAP, Impulse) and ticketing platforms (Service Now), CMDB.
