The Opportunity
We're hiring a Procurement & Inventory Coordinator to support the operational backbone of a fast-growing DTC food and consumer packaged goods brand scaling across retail and direct channels — handling the day-to-day execution of purchase order creation and tracking, SKU and BOM management, invoice reconciliation, and supply chain data integrity across Cin7, Google Drive, and PO trackers. You'll work closely with Procurement, Finance, and the supplier network to keep POs moving, data clean, and costs accurate; this role is critical for data integrity and built for someone who is highly detail-oriented, comfortable managing multiple supplier relationships simultaneously, and proactive about flagging discrepancies before they become downstream problems.
What Your Day-to-Day Will Look Like
- PO Creation & Tracking: Create purchase orders for raw materials, merchandise, and packaging across the supplier network; track POs from issuance through receipt; proactively flag delays or shortfalls; create and receive ASNs in coordination with Sales Order Coordinators; and maintain the PO tracker with current status, dates, and quantities across all open orders.
- Supplier Coordination: Coordinate directly with suppliers on order confirmations, lead times, and delivery schedules — maintaining clear written communication and driving timely resolution of delays, discrepancies, and open items.
- Item Creation & BOM Management: Create and maintain SKUs in Cin7, GS1, and Infoplus across base SKUs, packaging components, and finished goods; build and update Bills of Materials to reflect current component costs, quantities, and supplier assignments; and flag and resolve BOM discrepancies including missing components, outdated pricing, and incorrect quantities.
- Invoice Reconciliation & Finance Support: Reconcile supplier invoices against purchase orders; flag quantity or price variances before authorization; route invoices for approval; drive discrepancies to resolution with suppliers and internal stakeholders; and partner with Finance to troubleshoot invoice issues and ensure accurate, timely close-out.
- Documentation & Systems Maintenance: Capture and organize packing lists in Google Drive with accurate lot codes, expiration dates, and quantities for FEFO tracking; enter and maintain data in Cin7 and Google Sheets covering stock receiving, PO details, and item records; and provide general operational support and assist with special projects as needed.
What You Bring
- Procurement & Supply Chain Experience: 1–3 years of experience in procurement, supply chain coordination, or inventory management — with a strong understanding of PO workflows, supplier management, and inventory data integrity.
- Inventory & ERP System Proficiency: Familiarity with Cin7 or a similar inventory/ERP system — Cin7 experience is strongly preferred given its central role in this position's daily workflows.
- Spreadsheet Proficiency: Strong Excel and/or Google Sheets skills including formulas, pivot tables, and data reconciliation — comfortable building and maintaining trackers and working with detailed datasets.
- Attention to Detail & Data Integrity: Exceptional attention to detail with a track record of maintaining clean, accurate data across multiple systems — this role is data-integrity critical and requires the discipline to catch and resolve discrepancies proactively.
- Communication & Multi-Stakeholder Management: Clear written communication skills for supplier and cross-functional coordination; comfortable managing multiple supplier relationships and competing deadlines simultaneously without dropping details.
Bonus Points if:
- You have experience in consumer packaged goods (CPG), food & beverage, or a similarly regulated product category.
- You have experience with GS1 item registration or Infoplus warehouse management systems.
- You have experience with FEFO (First Expired, First Out) inventory tracking and lot code management.
- You have experience building or maintaining Bills of Materials in an ERP or inventory management system.
Salary Range: $6.50 - $8.50/hour (Final offer based on skills and experience matched to role requirements)
