About the Role

The Procurement Assistant supports the procurement function by assisting in supplier sourcing, quotation requests, and basic vendor evaluation, while ensuring accurate processing of purchase orders and compliance with company policies. The role helps maintain an updated supplier database, coordinates with vendors and internal stakeholders, and supports timely and cost-effective procurement to ensure uninterrupted business operations.

Responsibilities

  • 30% Purchase Order and Documentation Processing – Assist in preparing and processing purchase requests, purchase orders, delivery receipts, and invoices. Ensure accuracy, completeness, and proper filing of procurement documents.
  • 25% Sourcing and Quotation Support – Assist in sourcing potential suppliers, requesting and comparing quotations, gathering vendor information, and supporting supplier evaluation and accreditation requirements.
  • 20% Supplier Coordination and Follow-ups – Coordinate with suppliers regarding quotations, order status, delivery schedules, and resolution of minor issues under the guidance of senior procurement staff.15% Compliance and Records Management – Maintain procurement and supplier records in compliance with company policies, audit requirements, and regulatory standards.
  • 10% Internal Coordination and Reporting Support – Coordinate with internal stakeholders (requestors, finance, warehouse) and assist in preparing procurement tracking reports and status updates.
