Job Description

This is a full-time Process and Systems Associate role based in Makati, with one work-from-home day per week. The Process and Systems Associate will be responsible for daily process and system support, troubleshooting, and quality assurance. They will be responsible for identifying areas of workflow and process improvement, data analysis, and providing technical support, enhancements and/or developments. General tasks will include the following:

1. Strategic Management and Direction

  1. Implements the Key Result Areas (KRAs), objectives, goals, strategies, and initiatives of PSM unit.
  2. Checks and documents budget requests and expenses of PSM unit. Ensures that approved funds are utilized effectively and efficiently.
  3. Implements PSM-related policies, processes, guidelines and other supporting documents.
  4. Gathers and consolidates data/information, studies and research on the latest trends, best practices, technologies, and innovative process improvement initiatives. Ensures that processes are aligned with ALP's standards, requirements, and branding.

2. Application of Essential Functions

a.Standardization and Process Optimization

  1. Assists in the establishment of quality assurance and control standards and parameters through process mapping, streamlining, automation, formulation and implementation of effective correction/corrective actions.
  2. Assists in the standardization of key processes including review, documentation, redesigning, operationalization, and continuous improvement.
  3. Documents the analysis, review, and streamlining of workflow including identification of appropriate process owners (responsible departments/units and roles), logical sequence of activities, challenges/pain points of the process. Ensures that controls, optimization techniques and measures are established, cascaded, implemented, monitored and evaluated accordingly.
  4. Documents As-is process maps including identified areas of concern/problems, root cause analysis, and recommendations relevant to the correction/corrective actions/solutions.
  5. Gathers, consolidates and documents metrics/measures to enhance process performance.
  6. Documentsthe alignment and coordination of processes including sub-processes to ensure smooth and seamless operations as well as collaboration across functional groups.
  7. Formulation, consultation, and implementation of innovative and practical solutions for the improvement and efficiency of functions
  8. Facilitation of meetings with representatives from various Operations functions
  9. Documentation, streamlining, and standardization of process flows and maps
  10. Conduction of Time and Motion Study (TMS) and other industrial, mathematical or statistical measures for proper appraisal and evaluation of analysis and recommendations

b.Process Audits

  1. Provides support and/or implements process audits including preparation of Process Audit Report and findings.
  2. Assists in the orientation of audit plan and programs including closeout of audit findings.
  3. Gathers, consolidates and/or documents correction/corrective actions relevant to audit findings and non-compliances.

c.Document and Records Management Control

  1. Implements document/records management and control relevant to the established ALP's standard and guidelines.
  2. Conducts updating, maintenance, and control of knowledge management library for ALP policies, procedures, guidelines and other supporting documents.

d.Digitalizationand Automation solutions

  1. Supports the Immediate Superior/Supervisor in the implementation, rollout, monitoring, evaluation, and continuous improvement of digital and automation initiatives/programs/solutions.
  2. Provides technical support to digital initiatives and other business needs of ALP.

e. Training

  1. Administration of business process-related trainings

f. Other Job function

  1. Prepares all reports and presentations for PSM, Man Com and other approving committees/councils of ALP/ ALI.
  2. Provides additional support to the Immediate Superior/Supervisor and other ALP groups/departments/units for the preparation, review, implementation and/or evaluation of other strategies, data/information, special projects/initiatives, innovations, ad hoc reports, and/or presentations.
  3. Supports other PSM initiatives as needed.

Qualifications

  • Bachelor's Degree or equivalent experience in Industrial Engineer, Management Information System or related field
  • Analytical Skills: Strong analytical and problem-solving skills with the ability to analyze complex processes and identify areas for improvement
  • Communication: Excellent communication and interpersonal skills with the ability to communicate technically with both technical and non-technical users
  • Technical Support: Ability to provide technical support for various systems and software platforms
  • Troubleshooting: Ability to troubleshoot technical issues and systems
  • Quality Assurance: Familiar with quality assurance processes and able to ensure optimal system performance
  • Experience with Salesforce, Microsoft Dynamics, Project Management Tools or other CRM software
  • Knowledge of industrial engineering principles, methodologies, and tools such as time and motion studies, work measurement, process mapping, and statistical analysis
  • Strong attention to detail and commitment to accuracy in creating and maintaining documentation.
  • Effective communication skills, both written and verbal, with the ability to collaborate and present ideas to cross-functional teams.
  • Ability to work independently as well as part of a team, taking initiative and demonstrating a proactive approach to problem-solving.
  • Previous experience or coursework related to process optimization, standardization, documentation control and programming skills is advantageous.
  • Familiar with ALI/ALP product lines with strong business, design, and process approach mindset.
