What are we looking for
- Experience in business administration, systems optimisation, or allied health practice support.
- Knowledge of practice management software (Cliniko preferred), billing systems (Medicare), and accounting software (Xero).
- Experience in the allied health or healthcare sector.
- Experience in mapping or documenting work processes

- Systems and Process Improvement
- Review and optimise the use of Cliniko (practice management software) to enhance efficiency and functionality.
- Develop templates, workflows, and policies to support improved system use.
- Identify opportunities for streamlined data management and reporting
- Manage integrated billing processes, reducing manual data entry and duplication.
- Prepare invoices, reconcile billing information and maintain orderly and secure financial records.
- Liaise with external organisations to clarify billing requirements, resolve issues and support timely payments.
- Maintain structured appointment scheduling processes that support smooth client flow and practitioner planning.
- Set up and manage reminders, recalls and follow-up communication to assist with appointment attendance and continuity of care.
- Monitor upcoming tasks and administrative deadlines to ensure that key activities are completed on time.
- Address scheduling issues promptly and help maintain consistency in appointment types and session lengths.
- Assist with general administration including file organisation, data entry and communication with clients and stakeholders.
- Maintain secure, high-quality client records in compliance with privacy and data protection requirements.
- Prepare and collate practice data to support monitoring, planning and compliance.
- Provide additional administrative duties as required to support practice operations.
