Job Description

The Planning and Business Process Manager will be responsible for optimizing and aligning business processes with strategic objectives to ensure the organization operates efficiently, remains adaptable to change, and consistently achieves its target outcomes. This role fosters a culture of innovation and continuous improvement by leading the planning and redesign of underperforming processes, leveraging data and technology to enhance overall organizational effectiveness. To ensure high-value service delivery, the Manager develops robust planning, process, and project governance frameworks, leading cross-functional teams to implement performance-enhancing best practices. Additionally, they lead the effective implementation of the organization's Plan to Build Policy, managing seamless project transitions from origination to operations through a rigorous gating process that evaluates project viability at every stage.

PLANNING AND BUSINESS PERFORMANCE

Governance

Setting governance framework in planning and business performance that will ensure that:

  1. Organizational objectives and comprehensive strategies that align with the company's mission and vision are set
  2. Performance vs. objectives are monitored and effective catch up plans are determined and executed

These can be done through:

  1. Strategic Planning: - Setting of Tier 1 goals (RE) by defining or reviewing a vision, establishing priorities, setting a company's direction, and outlining the steps to achieve it,
  2. Facilitating the collection, validation, and synthesis of planning inputs into coherent organizational plans, with clear priorities and success measures.

  4. Designing and leading capability-building initiatives to institutionalize planning practices, enhance performance literacy, and strengthen target setting across the organization
  5. Performance Monitoring and Control - Establishing Key Performance Indicators (KPIs) and monitoring progress against planned objectives ; collecting and analyzing data, identifying deviations, and taking corrective actions to keep plans on track.
  6. Risk Management: Coordination with the Risk Team and leaders in identifying potential challenges, risks, and uncertainties in the planning outputs and developing projects to prevent or mitigate impact.
  7. Collaboration - Working with cross-functional teams (like Finance and Operations) to ensure strategic alignment and effective implementation across the organization.

BUSINESS PROCESS AND INNOVATION

BP Governance

Setting and implementing governance framework in business process and innovation that will ensure that processes are:

  1. Documented and executed in alignment to the organizational objectives
  2. Complying to legal, and regulatory requirements and aligned with international standards (ISO)
  3. Continually improving to provide growth and improved value to the company

These can be done through:

  1. Process Analysis and Design - Providing framework for process owners to evaluate existing workflows to identify inefficiencies, bottlenecks, and areas for improvement, then designing new, optimized processes
  2. Change Management - Guiding the organization how to manage the communication and training required for employees to adopt new ways of working and facilitating seamless transitions.
  3. Innovative Culture

Promotion of an innovative culture within the organization from capability building to monitoring of results and with employees completing projects that will improve efficiency and effectiveness, increase value and deliver growth

PROCESS ASSURANCE

Governance

  • Development, maintenance and improvement of a governance process to verify and validate conformance with legal and regulatory requirements, subscribed standards, and established business processes.
  • This can be done through preparation of an audit master plan, conducting audits and evaluating the process design, documentation, and operation, aiming to enhance efficiency, mitigate risks, and prevent incidents and lapses

PROJECT TRANSITION

  • Oversee the implementation of the organization's Plan to Build Policy, ensuring seamless transitions of Renewable Energy (RE) growth projects from origination through development and construction to operations by successfully navigating stage gate reviews. This includes leading independent assessments of facilities, systems, manpower, and compliance readiness prior to plant turnover.

This can be done through

  1. Governance - Monitoring of implementation of the Plan-to-Build Policy and Stage Gate Project Management Model, collaborating with top management and process owners to ensure smooth project transitions from origination to operation
  2. Stage gating - Facilitation of gate reviews with assigned approvers, subject matter experts, and process owners to verify that all stage requirements are fulfilled and the project is adequately prepared for the next stage.
  3. Operational Readiness Review - Manages the facilitation and reporting of ORR kick-off sessions and Day-1 Essential workshops, and walk the line inspections

BUSINESS PARTNERING

Partners with the stakeholders (BU and Group Heads) in planning, performance management, process optimization & program development and execution through

  1. Facilitation of planning and ideation sessions to come up with Tier 2 and Tier 2.5 (Division and Group)
  2. Ownership of the group's process architecture
  3. Provision of guidance and expert review to process owners in drafting and improving processes
  4. Facilitation of OpsCom meetings

  1. Provision of internal or external capability trainings for gaps that hinders achievement of goals
  2. Leading business process improvement projects
  3. Conducting process audits according to risks and opportunities of the group

MANAGEMENT, REPRESENTATION AND OTHER DUTIES

  • Manages Planning and Business Process Leads and Specialists to execute initiatives successfully aligned with the group's goals and objectives through coaching and collaboration.
  • Maintains / enhances employee integration and performance by screening team members / supervisors during recruitment, communicating job responsibilities upon hiring, conducting employee orientation, evaluating performance, providing feedback to the employees and training/coaching as necessary to ensure competencies are built and improved.
  • Cultivates a high-performing and engaged team by having regular and ongoing conversations, with the purpose of setting and communicating clear targets, developing capabilities, managing performance, and discipline.
  • Drives the team to contribute to organizational goals by determining group and departmental objectives, planning activities, monitoring completion, evaluating outputs, and budgeting for required resources
  • Champions the Aboitiz culture by ensuring that the team members are engaged, participating in the culture programs, imbibes ITIRS (Integrity, Teamwork, Innovation, Responsibility and Service Excellence) in their daily work routine and provides feedback if necessary.
  • Ensures healthy, safe and secured work environment by determining, cascading, and implementing health, safety and security standards and processes, determining hazards in conducting activities, determining risks vs. objectives and providing mitigating and contingency actions.
  • Ensures compliance to applicable policies, guidelines, procedures and work instructions through team participation in process cascades, closure of gaps based on audits, and raising of any misalignment to concerned groups
  • Performs other duties and responsibilities that may be assigned by his/her immediate leader.

Minimum Qualifications:

  • Must be a graduate of B.S. Industrial Engineering or any Engineering degree.
  • Must have at least five (5) years of combined professional experience in planning and business performance, business process management, program and project management, internal audit, certification/accreditation attainment, and training facilitation.
  • Must have at least two (2) years of leadership experience in a supervisory or management role.
  • Must have led or co-led at least two (2) cross-functional projects or programs.
  • Must have experience facilitating at least one (1) training or workshop.
