Personal Assistant (Audit & Executive Support)

Location: Clark, Cebu, Tarlac, Manila, Philippines

Work Arrangement: Remote, Full-time

Shift: Monday - Friday | 7:00 AM - 4:00 PM PHT

Salary Range: Php 72,000 - Php 100,000

As a Personal Assistant, you are the strategic right hand to the firm's Partners. This is not a general admin role; it is a specialized position requiring a deep understanding of the Audit lifecycle and professional services operations. You will manage the critical administrative workflows-from conflict checks to 60-day lockdown trackers-that allow our Partners to focus on high-level decision-making and client advisory.

Your Impact

  • Audit & Compliance Administration: Support the front-end of the audit process by preparing conflict checks and client acceptance documentation. You will manage the execution of engagement letters, opinions, and formal correspondence, ensuring all financials are perfectly collated.
  • Practice Management (APS/Vault): Take full ownership of setting up new clients and updating details within APS and Vault. You will process monthly client billing and proactively follow up on outstanding invoices to maintain healthy cash flow.
  • Operational Tracking: Manage essential firm trackers, including staff movement for specific divisions and the critical 60-day lockdown tracker. You ensure that all administrative compliance markers are met without fail.
  • Performance Reporting: Prepare weekly timesheet reports and HARRIE training compliance reports for Partners. You act as the primary point of contact for staff, following up on outstanding items to ensure 100% team compliance.
  • Executive Liaison: Coordinate divisional meetings and in-person training sessions. You will also manage Partner CPD (Continuing Professional Development) registers, ensuring their professional certifications remain current.
  • Proposal Support: Assist in compiling and reviewing client proposals, ensuring that the firm's value proposition is presented with the highest level of professionalism and accuracy.

What You Bring

  • The Experience: Extensive experience as a Personal Assistant with a minimum of 5+ years specifically within Audit or a closely related professional services field. You understand the urgency and regulatory nuances of the audit industry.
  • Technical Mastery: Strong proficiency in APS tools and systems is essential. You are comfortable navigating practice management software to pull reports and manage complex billing cycles.
  • Operational Excellence: Exceptional organizational and time-management skills. You are a natural multitasker who can manage trackers, reports, and diaries simultaneously without losing sight of the details.
  • The Mindset: A high level of proactiveness. You don't wait for instructions; you anticipate the needs of the Partners and resolve administrative bottlenecks before they impact the team.
  • Communication Prowess: Superior verbal and written English skills. You can confidently collaborate with both onshore and offshore teams and maintain a professional tone when chasing outstanding items from staff or clients.
