WHO WE ARE LOOKING FOR

We are seeking a highly organized, discreet, and execution-driven Executive Operations Associate to provide direct, on-ground support to the Principal. This role requires regular fieldwork and in-person coordination within Metro Manila (NCR). Candidates must be willing and able to work on-site and travel locally as needed.

The successful candidate demonstrates strong financial responsibility, sound judgment in handling money and expenses, and unquestionable trustworthiness. The ideal candidate communicates clearly and professionally, demonstrates composure under pressure, and is comfortable working within structured leadership environments. Professional boundaries must be maintained at all times, particularly when coordinating household staff.

We are looking for someone proactive, resourceful, and flexibleable to anticipate needs, solve problems independently, and execute tasks with minimal supervision. The role requires discipline, discretion, and the ability to manage sensitive matters with confidentiality and professionalism.

WHAT YOU WILL DO:

1. Personal & Household Operations

  • Coordinate household staff with professionalism.
  • Ensure assigned tasks are executed and followed through.
  • Run personal errands (bank, BIR, hospital, government offices).
  • Handle purchases, bills, permits, and document processing.
  • Maintain appropriate professional boundaries with household staff.

2. Executive Field Support

  • Accompany the Principal to meetings when required.
  • Prepare materials and ensure documents are complete.
  • Coordinate with main office administration.
  • Liaise with department staff and external offices professionally.
  • Track meeting schedules and ensure punctuality.

3. Paperwork & Documentation

  • Prepare templated letters and basic legal/administrative documents.
  • Organize files and ensure documentation completeness.
  • Safekeep important documents.

4. Shared Coordination

  • Coordinate overlapping matters with the Founder's Executive Anchor.
  • Assist in shared logistics when necessary.

The Principal and spouse are professionals engaged in multiple fast-paced environments that require discretion, adaptability, and a high level of professionalism from those who support them.

They maintain an active and demanding schedule, and the role requires someone who can operate effectively across diverse settings while upholding confidentiality, composure, and excellence in execution.

Work Schedule (Important)

Please note that this role does not follow a standard 8:00 AM5:00 PM schedule. The Executive Operations Associate's working hours will align closely with the Principal's schedule.

The selected candidate is expected to be available and present as responsibilities requirewhether at home, in the office, during meetings, or at events. Flexibility and willingness to adjust hours or travel as needed are essential to effectively support the demands of the role.
