JOB DESCRIPTION Under general supervision, provides secretarial and administrative support to the HRMDS Director which includes designation to various focalship and technical functions. | |||
Functions and Responsibilities: | |||
1. Executive Administrative & Secretarial Support . Maintains, updates, and manages the HRMDS Director's daily Schedule and Calendar of Activities, ensuring seamless coordination of appointments, meetings, and official engagements. . Receives, screens, and logs incoming communications, visitors, and meeting requests prior to submission to the Director. . Organizes logistics for internal and external meetings, prepare working agendas, and record, transcribe, and distribute official minutes and action items. 2. Correspondence & Documentation . Prepares, drafts, and formats official Memoranda, letters, end-user correspondences, and administrative issuances for the Director's review and signature. . Establishes and maintains an organized physical and digital document tracking system to ensure confidential handling and timely routing of official files. 3. Project Development & Technical Assistance . Assists in researching, drafting, and refining Project Proposals for key HR development programs, organizational interventions, and office initiatives under the Director's instruction. . Serves as designated focal person for specific HR programs (e.g., employee welfare, training support, special committees, or compliance tracking) as assigned by the Director. . Gathers data, conduct preliminary analysis, and compile background materials needed for policy reviews, special reports, and decision-making. 4. Process Monitoring & System Management . Designs, implements, and maintains office Monitoring Tools/Technologies (such as status tracking dashboards, spreadsheet trackers, or automated logs) to track the progress of HRMDS projects, deliverables, and compliance timelines. . Prepares periodic monitoring reports on unit accomplishment, target status, and pending tasks for the Director's review. 5. Stakeholder Coordination & Liaison . Coordinates with division chiefs, unit heads, line agencies, and external entities to facilitate the timely execution of instructions from the HRMDS Director. . Executes other secretarial, technical, and administrative tasks as assigned by the Director to support the unit's overall strategic objectives. | |||
