JOB DESCRIPTION

Under the general supervision and direction of the Division Chief, performs a variety of administrative support functions in the implementation of policies including administrative assistance to engineers, architects, and skilled personnel shall act as the Property Officer of the Division and assist the Budget Officer in the preparation of financial documents.

Functions and Responsibilities:

1. Responsible for managing and keeping records of all the equipment, supplies and property of the division using the Property Record and Equipment Monitoring Inventory System (PREMIS)

2. Receive new items and complete documentation to record the acquisition, including completing paperwork and ensuring the identification number, necessary tag or labels to all equipment

3. Process items request, fill out the appropriate forms and distribute the property

4. Conduct inventories of items and audit records to ensure accuracy

5. Provide technical assistance to OBSUs in DSWD Central Offices

6. Monitors the budget and expenditure of the Division including the progress of all financial transactions

7. Formulate the Work and Financial Plan (WFP), Monthly Disbursement Program (MDP), Project Procurement Management Plan (PPMP) Purchase Request (PR), Obligation Request Slip (ORS) and other financial-related concerns of BGMD

8. Draft proposals, MOA, contracts and other documents, and reply correspondence memos, emails, and other communication

9. Attend meetings, conferences and seminars/workshop on financial and other administrative and human resource management matter

10. Consult and assist the BGMD Chief, Engineers and Architects in all building and grounds maintenance and construction works

11. Undertake other tasks that may be assigned from time to time related to BGMD functions.
