JOB DESCRIPTION

The Administrative Assistant III shall perform secretarial and clerical functions in the Office of the Director and does other related work with the Bureau. Likewise, he/she is also tasked to provide resource augmentation and be part of Quick Response Team during disaster operations.

Functions and Responsibilities:

1. Provide administrative and technical support in coordination with the DRMB supply and equipment officer to ensure efficient operations

2. Handle communications via phones and email, ensuring that all administrative duties are completed accurately and delivered with high quality and in timely manner

3. Utilize established web systems for document management, records management, and digital asset management to facilitate team accountability and collaboration

4. Receive, records sort and dispatch incoming/outgoing communications/letters and memoranda for the signature of the Bureau Director

5. Oversees documentary requirements of the Bureau Director

6. Attends to inquiries from other offices on the Bureau Director's schedule

7. Assist in preparation and dissemination of agenda for division meetings, and ensure timely preparation of minutes of the meetings as well as documentation of DRRM-related trainings, seminars

8. Assist in facilitation of admin and logistical-related concerns of and ensure needed coordination with other OBSUs

9. Generate and monitor required DRRM-related reports and

10. Performs other related tasks assigned by the Division Chief of Bureau Director.

Job Outputs:

1. Maintains the calendar of the Bureau Director

2. Updated and timely-recorded minutes of meetings

3. Record of all incoming and outgoing communications and official documents, scanned to file and saved in the google drive

4. Well-kept and updated directories of contacts and focals

5. Perform other task as may be assigned by the Bureau Director.
