JOB DESCRIPTION Serves as the Administrative Assistant of the Head of the DLLO. Coordinates with the Divisions under the DLLO, to efficiently and effectively execute the day-to-day operations of the Office under the direct supervision of the Head of the DLLO. Coordinates and Validates legislators/Committee's data/reports requested during hearings/briefings. Confirms attendance with the concerned Committees in both Houses of Congress of DSWD's authorized Representatives to Committee Hearings and Technical Working Group (TWG) Meetings, and do other related functions that may be assigned by the Head of the DLLO. | |||
Functions and Responsibilities: | |||
1. Serves as the Administrative Assistant of the DLLO 2. Monitors all incoming and outgoing communications of DLLO 3. Coordinates with the Divisions under the DLLO, to efficiently and effectively execute the day-to-day operations of the Office under the direct supervision of the Head of the DLLO 4. Types correspondences, reports, and other documents 5. Coordinates and Validates legislators/ Committees data/reports requested during hearings/briefings 6. Confirms attendance with the concerned Committees in both Houses of Congress of DSWD's authorized Representatives to Committee Hearings and TWG Meetings 7. Maintains and updates official files of DLLO 8. Keeps all schedules and reminders of the Head of the DLLO 9. Answers and places telephone calls 10. Operates fax machine and transmits messages to both Houses of Congress, Presidential Legislative Liaison Office (PLLO), DSWD OBSUs, Field Offices, Attached Agencies, concerned National Government Agencies (NGA's), and other stakeholders 11. Undertakes initial information gathering from persons who wish to see the DLL Officer, Supervisor, and technical staff 12. Renders additional services as authorized in the exigency of the service which shall be compensated accordingly 13. Undertakes authorized official travel the cost of travel to be shouldered by the First Party at the rate allowed under the existing Department of Budget and Management (DBM) guidelines and Commission on Audit (COA) rules and regulations and 14. Performs other related functions, as the need arises. | |||
