JOB DESCRIPTION

Under general supervision, performs secretarial and clerical functions for the Director and does related work.

Functions and Responsibilities:

1. Receives, records, routes, monitors, and tracks all incoming and outgoing communications, ensuring their timely processing and proper disposition.

2. Maintains, updates, and safeguards the Bureau's official records, documents, databases, and filing systems (both physical and electronic) to ensure completeness, accessibility, and confidentiality.

3. Prepares, encodes, formats, and manages administrative documents, official correspondence, reports, contracts, meeting materials, and other records in accordance with established office procedures.

4. Maintains the accuracy, completeness, and integrity of administrative data by ensuring the timely encoding, updating, validation, and retrieval of information in office databases and information management systems.

5. Provides secretariat and coordination support by facilitating meetings, coordinating with internal and external offices, preparing minutes of meetings, and monitoring agreed action points and deliverables.

6. Provides administrative and secretariat support to the Bureau Performance Management Team (PMT) by assisting in the consolidation, tracking, filing, and monitoring of performance management documents, reports, and related submissions.

7. Monitors the status of office assignments, directives, and reportorial requirements, and follows up with concerned offices to ensure the timely submission and completion of deliverables.

8. Provides general administrative and logistical support to the Office of the Director, including office supply and property management, travel and meeting arrangements, and other administrative services necessary for efficient office operations.

9. Performs other related administrative and clerical duties as may be assigned by the Director or immediate supervisor in support of the Bureau's operations and performance objectives.

Job Outputs:

1. Performs administrative, clerical, and secretariat functions in support of the Office of the Director.

2. Assists in records and document management.

3. Preparation and processing of official correspondence, scheduling of meetings and appointments, monitoring of office directives, and coordination with internal and external stakeholders.

4. Provides administrative and secretariat support to the Bureau Performance Management Team (PMT), including the processing, consolidation, tracking, and safekeeping of performance management documents and reports, to ensure the efficient and effective delivery of the Bureau's administrative and performance management functions.

5. Coordination with other divisions and/or Bureaus on scheduled meetings.

(i) For RA 1080 Eligible (RSWs and/or other board passers only):

7. Performance Rating in the last semestral/probationary rating period or its equivalent, as may be applicable.

(i) Applicants from public sectors outside DSWD Central Office: If vying for promotion or transfer, a performance rating of at least Very Satisfactory in the last semestral/probationary rating period prior the date of assessment or screening is required.
