JOB DESCRIPTION

Under immediate supervision of the Head of the Administrative Unit of Administrative Service - Office of the Director (AS-OD), performs clerical, secretarial functions, and administrative support on assigned representations, performs simple but responsible sub-professional or professional work, and does other related works.

Functions and Responsibilities:

1. Performs all secretarial functions for the Administrative Service (AS) Director

2. Monitor and calendar the meetings of the AS Director

3. Draft/prepare communications such as letter, correspondence, and memoranda

4. Custodian of 201 files of the all AS personnel including Contract of Service workers

5. Act as one of the Administrative Service - Personnel Selection Committee Secretariat (AS-PSC)

6. Maintains files and records related to AS-PSC functions

7. Responsible for the preparation of Oath of Office and Assumption of Duty of newly appointed regular, casual, and contractual personnel of AS

8. Responsible for scheduling the interview of the applicants and sending invitations to AS-PSC members

9. Draft/prepare shortlist of applicants, Interview Matrix Form, Comparative Matrix and consolidation of attachments on approved AS-PSC Resolutions

10. Act as liaison personnel for the AS Director

11. Act as the Personnel Administration Focal Person for AS

12. Responsible for the monitoring and preparation of endorsement memorandum for documentary requirements of newly hired personnel and COS workers of AS

13. Perform other related duties and responsibilities as may be assigned by the Administrative Unit Head or the AS Director.

Final Shortlisting

Top five (5) highest rating but overall rating should not be less than 80%

If two (2) or more vacant positions with the same title and Salary Grade are published at the same time, and there is only one (1) longlist of applicants provided by HRMDS, additional two (2) applicants for every regular position will be added on top five (5) highest rating. However, all the additional shortlisted applicants should meet the 80% cut off.
