JOB DESCRIPTION Under general supervision and following detailed rules and procedures, performs general clerical and administrative support functions, including managing records and communications, preparing routine financial and office documents, providing essential logistical support, assisting in procurement, and serving as a back-up officer for both liaison work and property & supply management functions. | |||
Functions and Responsibilities: | |||
1. Receives and records incoming and outgoing documents in the Document Tracking System (DTS) 2. Sorts, distributes, and routes incoming and outgoing documents to concerned work units 3. Monitors and updates action or status of documents encoded in DTS 4. Generates reports from the DTS 5. Implements and maintains an effective records management system for both physical and electronic division records, in accordance with relevant guidelines 6. Prepares simple routine documents such as but not limited to: memos, Special Orders, Certificates of Appreciation, Certificates of Participation, etc. 7. Prepares financial transaction documents such as: Obligation Requests (ObRS) and Disbursement Vouchers (DVs), and ensures completeness of supporting documents 8. Coordinates and arranges logistical needs for division activities (e.g., venue, supplies and materials, equipment, meals, transportation, etc). 9. Provides administrative support during the preparation, implementation, and post-activity phases of the conduct of LDIs and other activities of the division 10. Acts as alternate liaison officer for official transactions, including follow-up and submission of documents to other DSWD offices or external organizations and stakeholders, as delegated. 11. Acts as alternate Property and Supply Custodian of the division: a.Assists in updating and maintaining the inventory of all division supplies, equipment and properties b.Assists in the preparation and documentation of Property Acknowledgement Receipts (PARs) and Inventory Custodian Slips (ICS), and Requisition and Issue Slips (RIS) c.Assists in the preparation of inventory reports d.Assists in coordinating the repair or disposal of unserviceable items in accordance with existing policies 12. Perform other related tasks as may be required. | |||
