JOB DESCRIPTION

Under general supervision, performs secretarial and clerical functions for the Director and does related work. Assists in the organization of the day-to-day operation of the Bureau to ensure the provision of high quality administrative support. Manage the schedule to enhance time management and coordinate activities, prioritizes appointments and reschedule when necessary. Manages, prioritizes, screens, and monitors the Bureau's correspondence, including emails, calls, post and fax to ensure they are dealt with appropriately.

Functions and Responsibilities:

1. Record and oversee all incoming and outgoing communications

2. Track documents effectively using PASPAS-GIS for efficient document management

3. Assist in maintaining and updating of official files of the Division/Bureau

4. Assist in coordination with other Bureaus/Offices in terms of meetings, trainings and other similar activities

5. Provide logistical and administrative support for the activities of the division, ensuring that all operational needs are met efficiently

6. Answer phone calls and direct inquiries seeking assistance from the Division

7. Perform administrative tasks including travel arrangements, calendar management and event coordination of the Division

8. Prepare Obligation Request and Status (ORS) forms and Disbursement Vouchers (DVs) for consultant/supplier payments or staff reimbursements and

9. Perform other related tasks as assigned.
