JOB DESCRIPTION

Under general supervision, the Administrative Assistant I (Computer Operator I) provides vital administrative support to the Recruitment, Selection, and Placement (RSP) Section. The position is primarily responsible for conducting preliminary evaluations of application documents against competency-based job descriptions maintaining RSP tracking tools and vacant position databases and executing the secure digital migration, indexing, and archiving of personnel records.

Functions and Responsibilities:

Recruitment Support and Application Evaluation

1.Evaluates incoming application packets against the minimum Qualification Standards (QS) and competency-based job descriptions.

2.Prepares the official longlist based on the result of the evaluation.

3.Functions as Secretariat for the Human Resource Merit Promotion and Selection Board (HRMPSB) by scheduling deliberations, organizing electronic applicant folders, drafts and releases the Notice of Meeting and drafts detailed Minutes of Meetings.

4.Prepares routine recruitment and appointment-related documentation.

Data Entry and Database Operations

5.Maintains and regularly updates RSP database monitoring tools tailored for tracking recruitment, selection, and onboarding pipelines.

6.Monitors, diagnoses, and reports technical malfunctions of the section's ICT equipment

7.Performs basic software troubleshooting, implements routine data backups, and enforces computer lock-out protocols to protect active databases.

Digital Records and Archiving Management

8.Executes the systematic scanning, data-cleansing, and digitization of physical files of the RSP Section.

9.Enforces strict, standardized electronic file-naming conventions and logical folder structures across the local network to guarantee immediate document scannability and retrieval.

10.Handles the lifecycle of physical and digital documentation, ensuring active maintenance or secure disposal aligns strictly with the agency's approved Records Disposition Schedule (RDS) and data privacy regulations.

Ancillary Functions

11.Perform other clerical and computer-related tasks that may be assigned.
