Role description:

The People Services Specialist plays an important role in providing efficient and high-quality administrative support to employees, managers, and the People Team. This includes managing employee lifecycle processes, maintaining accurate employee records in the HRIS (Deltek), and responding to queries in a timely manner. The role also supports reporting, process improvements, and assists in smaller-scale projects and operational changes within the People Team.

Role accountabilities:

  • Support the end-to-end employee lifecycle processes, including recruitment administration, onboarding, offboarding, and general employee changes.
  • Accurately and promptly update employee records in Deltek in accordance with People Services workflows and guidelines.
  • Provide administrative support for contracts and contract extensions, ensuring all documents are processed and stored in a GDPR-compliant manner.
  • Respond to employee and manager queries, including explaining People policies and processes, and ensuring timely and accurate resolutions in line with defined service level agreements.
  • Manage and prioritize requests via the HR Feedback inbox (Service Request inbox), ensuring progress and appropriate resolutions for all queries.
  • Collaborate with the wider People Team to ensure seamless service delivery and contribute to process improvements where required.
  • Prepare and maintain reports (e.g., monthly/quarterly updates) and ensure accurate data handling for internal use.
  • Support the implementation of process improvements and assist with minor operational or system changes as they arise.
  • Assist with basic data analysis, such as identifying trends in employee data, to support wider People Team initiatives.
  • Provide support for small-scale change management activities, such as process updates or system transitions.
  • Ensure compliance with company policies and procedures related to document management and data integrity.

Qualifications & Experience:

  • Bachelor's degree in a relevant field.
  • At least 1–2 years of experience in HR (preferably in HR Shared Services) or a customer service-related role.
  • Experience with HRIS systems (e.g., Deltek) is a strong advantage.
  • Strong organizational skills and the ability to manage workloads effectively within deadlines.
  • Excellent communication skills with the ability to interact confidently with employees and managers at all levels.
  • Proficiency in Microsoft Office applications.
  • Detail-oriented with strong multi-tasking abilities and a focus on maintaining data accuracy.
  • Flexible and adaptable to change, with a willingness to support process improvements and new initiatives.
  • A customer-service mindset with the ability to collaborate effectively with colleagues across departments.
  • Ability to work independently and manage basic tasks while achieving service quality standards.
