About the role:

We are seeking a detail-oriented and proactive P&C Administrator to support our People & Culture team in delivering a positive employee experience and ensuring smooth HR operations. This role is essential for maintaining accurate employee records, coordinating day-to-day people processes, and providing day-to-day administrative support across multiple HR functions.

What You'll Do

Recruitment & Candidate Management

  • Post job advertisements on multiple job boards and update postings in the ATS.
  • Maintain a central tracker of all job postings, including board coverage, open/close dates, and status updates.
  • Support initial sourcing tasks as needed (e.g., shortlist support), aligned to role requirements and guidance from the hiring team.
  • Review resumes for baseline criteria such as eligibility to work, location, and salary alignment.
  • Schedule interviews across multiple time zones, coordinating with candidates and stakeholders.
  • Communicate with candidates at each stage (confirmations, rejections, updates) using standardized templates.
  • Coordinate background and reference checks through vendor platforms, track completion, and escalate exceptions as needed.

Onboarding & New Hire Support

  • Schedule all onboarding activities, including:
  • Orientation sessions
  • Manager and peer 1:1s
  • Buddy introductions
  • Prepare complete onboarding packets and documentation before Day 1.
  • Track progress on new hire checklists (equipment delivery, forms completed, training started, surveys submitted).
  • Set up new hire profiles in company systems (BambooHR, Lattice, Sequoia, ATS, LMS, and other tools).
  • Coordinate with IT or vendors to ensure laptops and equipment are shipped, delivered, and set up prior to start.
  • Provide benefit enrollment instructions, follow up on missing information, and confirm completion with providers.
  • Ensure all onboarding meetings and system access are confirmed before Day 1.

Employee Records & Lifecycle Administration

  • Maintain employee records in the HRIS, including new hires, promotions, manager changes, compensation updates, and terminations.
  • Prepare and distribute employment-related letters and documents (employment verifications, promotion letters, compensation letters, commission plans, ESOP letters, and separation notices) using approved templates and approvals; escalate exceptions.
  • Maintain accurate and complete digital personnel files, conducting monthly audits to confirm all required documents are stored and signed.
  • Process employee exits, including system removal requests, final paperwork, IT coordination for equipment returns, and documentation of terminations.

Compensation & Benefits Support

  • Assist with salary survey data pulls and the preparation of benchmarking spreadsheets.
  • Support compensation reviews by gathering, validating, and reconciling data.
  • Create and distribute compensation-related documentation, including salary adjustment letters and bonus/commission letters.
  • Provide employees with benefit enrollment guidance, resolve basic benefit queries, and ensure all changes are captured in the HRIS and benefits systems.

Compliance, Reporting & Policies

  • Monitor and track completion of all compliance training via the LMS.
  • Send reminders to employees who have overdue training and provide progress reports to managers.
  • Support the preparation and delivery of training materials, decks, and surveys.
  • Assist with audit preparation, including data reconciliation and organizing required records.
  • Maintain up-to-date policies, procedures, and SOPs in Confluence.
  • Support leave and PTO tracking, ensuring accurate reporting and visibility for managers.
  • Compile recurring P&C reports and metrics tied to company OKRs (headcount, turnover, compliance training, leave, and more).

HR Tools & Knowledge Management

  • Act as administrator for key P&C systems (BambooHR, Lattice, Sequoia, ATS, LMS), managing profiles, permissions, and workflows.
  • Keep templates, onboarding materials, and training content current in company systems.
  • Maintain the internal HR knowledge base in Confluence, ensuring policies, guides, and FAQs are accurate and accessible.
  • Provide Tier-1 support for employee queries on benefits, policies, and HR systems, escalating complex cases to the P&C Partner.

Reporting & Analytics

  • Generate HR reports for leadership meetings, compliance reviews, and audits.
  • Prepare people metrics updates and simple slides/decks support as needed (formatting and data accuracy).
  • Support the creation and formatting of P&C presentations and decks.
  • Reconcile, clean, and validate HR data across systems for accuracy.

About you

  • 3-5 years of HR administration or HR operations experience, supporting a mix of hybrid and remote teams across multiple time zones.
  • Experience with HRIS systems (BambooHR required; Lattice experience a plus).
  • Familiarity coordinating HR compliance tasks across multiple jurisdictions (e.g., working with a PEO and internal stakeholders), with an ability to follow guidance and escalate exceptions.
  • Excellent organizational skills with ability to manage multiple priorities and maintain confidentiality.
  • Detail-oriented with focus on data accuracy and process adherence.
  • Strong written and verbal communication skills with customer service orientation.
  • Proficiency in Excel/Google Sheets for reporting and data management.
  • Experience supporting fast-growing companies through scaling phases preferred.
  • Very high proficiency in English.

  • 9pm-6am Manila Time
  • 33rd floor of PBCom Tower, Makati City
