Location: Clark / Cebu / Manila / Tarlac, Philippines
Work Arrangement: Remote, Full-time
Shift: Monday - Friday | 9:00 PM - 6:00 AM PHT
Salary Range: Php 91,000 - Php 124,000

We are seeking a detail-oriented and experienced Payroll Specialist to join our growing team in a fully remote capacity. In this role, you will be responsible for managing end-to-end payroll operations for U.S.-based clients, ensuring accuracy, compliance, and timeliness across all payroll functions. This is an excellent opportunity for a seasoned payroll professional who thrives in an independent, high-accountability environment and possesses deep knowledge of U.S. payroll regulations and QuickBooks Desktop.

Your Impact

  • End-to-End Ownership & QuickBooks Processing: Process complete, manual payroll cycles utilizing QuickBooks Desktop, ensuring every pay run is executed with absolute precision and consistency.
  • Accuracy & Calculation Core: Perform calculations of wages, overtime, bonuses, deductions, and withholding taxes, maintaining numerical integrity across all payroll activities.
  • Multi-State Proficiency: Handle complex multi-state payroll processing, confidently navigating the nuances of varying state and local tax jurisdictions.
  • Ledger Integration & Reconciliation: Prepare and post payroll journal entries to the general ledger to align payroll data with financial records. Regularly reconcile payroll reports against financial statements to detect and resolve discrepancies.
  • Compliance Filing & Agency Submissions: Prepare and file foundational payroll tax forms, including Form 941, Form 940, and applicable state returns. Submit payroll-related filings directly to the IRS and state/local agencies within required deadlines.
  • Year-End & Records Stewardship: Manage comprehensive quarterly and year-end payroll closeouts, including the preparation and distribution of W-2 and 1099 forms. Maintain employee payroll records to ensure data remains compliant and audit-ready.
  • Regulatory Adherence & Issue Resolution: Ensure full compliance with federal, state, and local payroll laws, staying ahead of regulatory updates. Respond to payroll inquiries from clients and employees professionally, resolving discrepancies with care.

What You Bring

  • Seasoned U.S. Payroll Experience:Minimum of 3 years of hands-on U.S. payroll experience, showcasing an advanced understanding of full-cycle processing from initiation through final reconciliation.
  • QuickBooks Desktop Mastery:Proven, deep experience utilizing QuickBooks Desktop for manual payroll processing is mandatory and non-negotiable.
  • Independent Capability: A demonstrated ability to process complex payroll independently without close supervision, exercising sound judgment and high self-accountability.
  • Regulatory Knowledge & Filing Expertise: A solid, current understanding of federal, state, and local U.S. payroll tax laws. Direct experience submitting tax filings to the IRS and state revenue bodies.
  • Industry Familiarity: Prior experience working with small to mid-sized U.S.-based firms, with a strong grasp of the unique operational demands of these client environments.
  • Precision & Professional Communication: Exceptional attention to detail, strong time management skills to handle overlapping deadlines, and excellent written and verbal English communication skills.
  • Platform Versatility (Preferred): Familiarity with additional payroll and accounting ecosystems such as QuickBooks Online, ADP, Gusto, Paychex, or Xero is considered a valuable asset.
