Payroll Specialist – Union Payroll
We are seeking an experienced Payroll Specialist with strong knowledge of union payroll and direct experience supporting U.S.-based companies. This position is responsible for processing accurate and timely payroll while ensuring compliance with collective bargaining agreements, U.S. wage-and-hour laws, union deductions, benefit requirements, and company policies.
Key Responsibilities
- Process weekly or biweekly payroll for union and non-union employees of U.S.-based companies.
- Interpret and apply collective bargaining agreements, including wage rates, classifications, overtime rules, shift differentials, premiums, and benefit requirements.
- Calculate regular wages, overtime, double time, bonuses, reimbursements, retroactive adjustments, and other compensation.
- Manage union dues, initiation fees, assessments, garnishments, tax withholdings, and other payroll deductions.
- Calculate and report employer contributions to union health, pension, vacation, training, and other benefit funds.
- Prepare union payroll reports and remittance documentation by required deadlines.
- Review timekeeping records and resolve missing punches, incorrect job codes, and pay discrepancies.
- Maintain accurate employee payroll records, classifications, wage rates, deductions, and benefit elections.
- Respond to payroll questions from employees, managers, and union representatives.
- Reconcile payroll registers, deductions, benefit contributions, tax records, and general-ledger entries.
- Support union, payroll, workers compensation, and year-end audits.
- Assist with quarterly reconciliations, payroll tax reporting, W-2 processing, and other year-end activities.
- Ensure compliance with applicable U.S. federal, state, and local payroll and wage-and-hour requirements.
- Identify opportunities to improve payroll accuracy, controls, and efficiency.
- Protect the confidentiality of employee and payroll information.
Required Qualifications
- At least three years of payroll-processing experience.
- Direct experience processing union payroll.
- Experience supporting or working for U.S.-based companies.
- Demonstrated ability to interpret and apply collective bargaining agreements.
- Understanding of U.S. federal, state, and local payroll requirements.
- Experience with overtime, double time, premium pay, union deductions, and benefit-fund contributions.
- Proficiency with payroll systems, timekeeping platforms, and Microsoft Excel.
- Strong reconciliation, analytical, and problem-solving skills.
- Excellent attention to detail and ability to meet strict payroll deadlines.
- Strong written and verbal English communication skills.
- Ability to handle confidential employee and payroll information.
Preferred Qualifications
- Experience supporting multiple unions or collective bargaining agreements.
- Experience processing multi-state U.S. payroll.
- Experience with construction payroll, certified payroll, or prevailing-wage requirements.
- Familiarity with U.S. payroll taxes, garnishments, W-2s, and general-ledger reconciliation.
- CPP or FPC certification.
- Experience working remotely with U.S.-based employees and leadership teams.
