We are seeking motivated Payroll Officer tosupport our growing business. 

The Payroll Officer is responsible for the accurate and timely processing of payroll for our Manila operation. The role inputs and validates payroll data (including timesheets/attendance and leave) and processes payroll in payroll system, currently Sprout Solutions, ensuring compliance with Philippine labor, tax, and statutory requirements. This position works closely with the Manila HR and Workforce Planning teams and partners with the global Payroll team to deliver a consistent, accurate, and employee-focused payroll service. The Payroll Officer also supports employees with payroll inquiries and contributes to continuous process improvement.

1.     Payroll Management

  • Process end-to-end bi-monthly payroll using Sprout Solutions, including statutory deductions, compliance checks, audit support, and disbursements.
  • Manage the payroll calendar and cut-offs (timesheet cut-off, leave cut-off, approval deadlines, pay date activities) and coordinate required sign-offs in line with internal controls.
  • Collect, validate, and consolidate payroll inputs (e.g., new hires, separations, salary changes, allowances, overtime, loans, and one-off adjustments) from Manila HR and people leaders, and provide accurate payroll files/inputs to the global Payroll team where required.
  • Accurately manage all regular payroll components, including gross and net pay, overtime, allowances, bonuses, holiday pay, night differential, and deductions, including any ad hoc allowances and bonuses, ensuring timely processing and compliant tax and benefit deductions.
  • Maintain accurate and up-to-date employee payroll records, including new hires, promotions, transfers, resignations, and final pay.
  • Maintain data integrity by ensuring employee master data is accurate and consistent across HR systems and payroll (e.g., Employee Hub/HRIS and Sprout), including employee details, pay items, tax status, and statutory identifiers.
  • Input, validate, and reconcile timekeeping (timesheets/attendance) and leave data in the relevant systems; ensure approvals are completed before cut-off and follow up exceptions with employees and managers to ensure accurate payroll outcomes.
  • Ensure timely release of payslips and salary crediting.
  • Perform payroll reconciliations and participate in internal and external audits.
  • Manage payroll communications with internal and external stakeholders and employees.

2.     Government Remittances

  • Prepare, verify, and submit monthly statutory contributions and loan remittances, ensuring all payments are accurate and completed on time:
  • SSS (Social Security System)
  • PhilHealth (PHIC)
  • Pag-IBIG/HDMF
  • BIR (Bureau of Internal Revenue)
  • Ensure compliance with submission deadlines, accuracy of reports, and proper documentation for audit readiness.
  • Track employee government loans and agreed repayment schedules.

3.     Compliance & Reporting

  • Ensure payroll compliance with labor laws, tax regulations, and company policies.
  • Prepare payroll-related reports for management, audits, and government agencies.
  • Handle year-end payroll activities such as tax annualization, reconciliations, and BIR submissions.
  • Maintain secure payroll documentation and safeguard confidentiality.

4.     Employee Support

  • Act as the primary point of contact for payroll and attendance-related inquiries.
  • Investigate, analyze, and resolve payroll discrepancies and employee concerns.
  • Explain pay outcomes (e.g., leave deductions, overtime, statutory deductions) and advise employees and managers on required supporting documentation and timelines for corrections.
  • Provide guidance on payroll policies, deductions, and tax withholdings.
  • Respond to audit queries and escalations related to payroll.
  • Support employees and managers with time entry, corrections, and approvals.

5.     Coordination & Administration

  • Work closely with the Manila HR team on employee lifecycle updates that impact pay (new hires, changes to personal details, role/grade changes, salary adjustments, secondments, separations), ensuring timely and accurate entry and approvals.
  • Partner with the global Payroll team and local stakeholders (HR Manila and Finance) on payroll reconciliations, approvals, issue resolution, and reporting; escalate risks, variances, or late changes in line with agreed processes.
  • Assist with payroll system updates, enhancements, and process improvements.
  • Provide training and support to staff on payroll-related processes.

Qualifications:

  • Bachelor's degree in Payroll, HR, Finance, or any related field.
  • At least 3 years of proven experience in payroll management or similar role.
  • Proficient in using HRIS and payroll systems. Experience in using Sprout Payroll and HRIS is an added advantage.
  • Proficient in MS Excel, including PivotTables, VLOOKUP and formulas.
  • Strong knowledge of payroll processes, statutory requirements, and government remittances.
  • Ability to analyse data, identify trends, and resolve recurring issues.
  • Has critical thinking and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to handle sensitive information tactfully and discreetly, protecting privacy and confidentiality.
  • Detail-oriented with excellent organisational skills, with the ability to multi-task and prioritise to meet tight deadlines.
  • Ability to work independently, maintain strict confidentiality, and exercise sound judgment in decision-making.
