Job Description

Job Title: Payroll & Benefits Coordinator (US Healthcare Focus)

Location: Remote

Employment Type: Full-Time

Position Summary:

The Payroll Coordinator is a key member of our HR team, responsible for the accurate and confidential execution of payroll and benefits operations. This role is critical in managing timekeeping, processing payroll, and administering employee benefits. To be successful in this role, you must have a strong command of US healthcare benefits, specifically the nuances of HMO and PPO plans, to effectively support our employees and ensure our processes align with industry standards.

Essential Functions:

Payroll & Timekeeping

  • Manage and maintain accurate timekeeping and attendance records for all employees.
  • Review payroll registers prior to processing to ensure accuracy, completeness, and compliance with federal and state regulations.
  • Approve payroll adjustments, corrections, and system actions recommended by the payroll platform.
  • Assist with auditing payroll files, employee records, and system data entries for accuracy and compliance.
  • Provide timely communication to staff regarding payroll updates, deadlines, or issues requiring attention.

Onboarding, Offboarding & Compliance

  • Oversee payroll-related aspects of onboarding and offboarding, including system setup, terminations, and documentation control.
  • Maintain oversight of background checks, training records, and required onboarding documentation.
  • Ensure confidentiality and secure handling of employee payroll data in compliance with company policies and regulatory standards.
  • Eventually assume full responsibility for all payroll-related onboarding tasks.

Benefits Tracking & Employee Support (US Healthcare Focus)

  • Track and maintain accurate records of employee medical, dental, and vision benefit enrollments.
  • Leverage your in-depth knowledge of HMO and PPO plans to effectively understand and explain benefit options to employees during onboarding and life events.
  • Serve as the subject matter expert for US healthcare benefits, assisting staff with complex questions regarding coverage, network providers, and plan differences between HMO and PPO structures.
  • Coordinate with HR Director to ensure benefit deductions align with payroll and enrollment records.

HR Software Training & Support

  • Maintain familiarity with Paycom functionality and participate in ongoing training to support payroll system optimization.
  • Train new employees on required HR software modules (timekeeping, benefits enrollment, document acknowledgment, etc.).
  • Support continuous improvement of payroll and HRIS workflows, documentation standards, and user experience.

Collaboration & Administrative Support

  • Collaborate with HR, department managers, and leadership to resolve payroll or benefits discrepancies.
  • Perform additional payroll, benefits, and administrative tasks as assigned by leadership.

Qualification Guidelines:

Required:

  • High school diploma or equivalent.
  • Prior experience in payroll processing, HR support, benefits administration, or timekeeping management.
  • Proven experience with US Healthcare benefits administration, with a clear understanding of HMO and PPO plan structures, compliance, and employee communication.
  • Strong understanding of payroll systems and HRIS platforms.
  • Experience reviewing payroll registers, timecards, and employee data for accuracy.

Desirable:

  • Associate's degree or certification in Human Resources, Payroll Administration, or Business Administration.
  • Experience in healthcare, clinical, or multi-site organizations.
  • Familiarity with compliance requirements for background checks, onboarding workflows, and benefits administration.
