About the Role:
We are looking for an experienced and detail-oriented Payroll Administrator to join our team and manage payroll administration for our external clients in Philippines.
The successful candidate will be responsible for the end-to-end processing and administration of client payroll, ensuring that salaries, statutory contributions, deductions, and payroll records are processed accurately and on time. This role requires someone who is comfortable managing payroll for multiple clients, handling confidential employee information, and communicating professionally with clients.
The ideal candidate should have at least 3 years of relevant payroll experience, preferably with experience handling Philippines payroll for multiple client companies or external clients.
Key Responsibilities Client Payroll Management:
• Manage and process monthly payroll for multiple external clients in Philippines.
• Handle end-to-end payroll processing, including employee data, salary calculations, allowances, deductions, overtime, commissions, bonuses, unpaid leave, and other payroll adjustments.
• Ensure payroll is processed accurately and within agreed client deadlines.
• Review payroll calculations and conduct reconciliation checks before payroll submission.
• Prepare and provide payroll reports and summaries to clients.
• Maintain accurate and up-to-date payroll records for all assigned clients.
• Respond to client payroll queries and provide timely clarification and support.
• Coordinate with clients to obtain payroll inputs, approvals, and supporting information.
Philippines Payroll & Statutory Compliance:
Ensure payroll processing complies with applicable Philippine employment laws and statutory requirements under the Labor Code
• Administer statutory contributions and deductions, including:
➢ SSS (Social Security System)
➢ PhilHealth (Philippine Health Insurance Corporation)
➢ Pag-IBIG Fund / HDMF (Home Development Mutual Fund)
➢ Withholding Tax / Expanded Withholding Tax on compensation
➢ 13th Month Pay and other mandatory bonuses
• Assist with preparation and submission of relevant statutory payroll reports, returns, and monthly/quarterly remittances to the SSS, PhilHealth, Pag-IBIG, and the BIR (Bureau of Internal Revenue)
• Keep up to date with changes in Philippine payroll legislation, statutory contribution tables, tax brackets (TRAIN Law updates), and Department of Labor and Employment (DOLE) regulations.
• Identify and escalate any payroll discrepancies, labor standard violations, or compliance concerns.
Payroll Administration:
• Maintain accurate employee payroll records and documentation.
• Process employee changes including new hires, resignations, salary adjustments, transfers, allowances, and other payroll-related changes.
• Assist with year-end payroll activities and preparation of relevant payroll reports and tax documentation. • Maintain strict confidentiality of employee and client payroll information.
• Support payroll audits and provide payroll records or documentation when required.
• Identify opportunities to improve payroll processes, accuracy, and efficiency.
Client Service & Coordination:
• Serve as a key payroll contact for assigned clients.
• Build and maintain professional working relationships with clients.
• Manage multiple payroll deadlines and priorities simultaneously.
• Communicate payroll matters clearly and professionally with clients and internal stakeholders.
• Proactively highlight potential payroll issues before they affect payroll processing or salary payment.
Requirements:
Minimum 3 years of relevant payroll administration experience.
• Strong experience in Philippine payroll processing is required.
• Experience managing payroll for multiple companies or external clients will be highly advantageous.
• Good knowledge of Philippine statutory payroll requirements, including SSS, PhilHealth, Pag-IBIG (HDMF), and BIR tax withholding (TRAIN Law).Experience with payroll software or HRIS/payroll systems.
• Strong numerical and analytical skills with excellent attention to detail.
• Ability to independently manage the full monthly or semi-monthly payroll cycle.
• Strong organisational and time-management skills, with the ability to meet multiple client deadlines.
• Good written and verbal communication skills.
• Ability to handle sensitive and confidential payroll information professionally.
• Comfortable working remotely and independently with minimal supervision.
• Proficiency in Microsoft Excel (e.g., VLOOKUPs, pivot tables) and other payroll-related systems.
Preferred Qualifications
Diploma or Bachelor's Degree in Human Resources, Accounting, Finance, Business Administration, or a related field.
• Professional payroll certification or relevant HR/payroll qualification is an advantage.
• Experience working in a payroll outsourcing, HR services, accounting, or professional services environment is preferred.
• Experience supporting payroll for multiple clients with different payroll requirements is an added advantage.
