Job Description

Payroll & Administration Assistant

Location: Remote, PH

Employment Type: Full-Time

Job Summary

We are seeking a detail-oriented and organized Payroll & Administration Assistant to support the company's payroll operations and administrative functions. The successful candidate will be responsible for end-to-end payroll processing, employee records management, contract administration, and coordination of employee-related activities while ensuring compliance with company policies and relevant employment regulations.

Key Responsibilities

Payroll Administration

  • Process monthly payroll accurately and on time for employees and external staff.
  • Maintain and reconcile employee timekeeping and attendance records.
  • Input and update employee information, including new hires, terminations, salary adjustments, and benefits in the payroll system.
  • Review and approve medical claims, leave records, and payroll-related transactions.
  • Perform payroll reconciliation and ensure compliance with payroll procedures and deadlines.
  • Manage payroll billing and related documentation.

Employee Records & Contract Management

  • Prepare employment contracts, contract renewals, and amendments for external staff.
  • Coordinate the distribution and collection of signed employment contracts.
  • Maintain accurate and up-to-date employee personnel files and records.
  • Ensure confidentiality and proper handling of employee information.

Administrative Support

  • Schedule and coordinate employee training courses and medical check-ups.
  • Maintain medical claims records and other HR administrative databases.
  • Prepare and submit monthly waiver of levy applications and other required employment-related submissions.
  • Assist with general administrative duties and documentation management.
  • Provide support on ad hoc administrative and payroll-related projects as assigned.

Qualifications & Experience

  • Minimum 1 year of experience in payroll processing and administrative support.
  • Experience handling payroll software and Microsoft Excel.
  • Familiarity with payroll regulations, statutory requirements, and employment administration.
  • Knowledge of Singapore Ministry of Manpower (MOM) regulations is an advantage.
  • Experience in maintaining employee records and handling confidential information.

  • Strong attention to detail and high level of accuracy.
  • Excellent organizational and time management skills.
  • Ability to work independently with minimal supervision.
  • Strong numerical and analytical abilities.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
