We are seeking a highly organized, patient-focused
Patient Services & Scheduling Coordinator to join our growing Gastroenterology practice. This role plays a vital part in ensuring seamless communication, efficient scheduling, and an exceptional patient experience. The ideal candidate is detail-oriented, customer-service driven, and capable of managing multiple priorities in a fast-paced medical environment.
Experience in Gastroenterology, specialty scheduling, and electronic medical record (EMR) systems is preferred but not required. Candidates with strong medical scheduling experience and a willingness to learn are encouraged to apply.
Key Responsibilities
Inbound Communication Management
- Process, review, and route inbound faxes accurately and efficiently.
- Monitor and respond to inbound website inquiries in a timely manner.
- Receive, review, and process screening colonoscopy requests through designated scheduling platforms.
- Maintain accurate and organized patient documentation within the EMR system.
- Ensure all patient communications are documented appropriately and routed to the correct department when necessary.
Scheduling & Care Coordination
- Schedule GI procedures, including screening colonoscopies, through task-based scheduling workflows.
- Schedule new patient consultations, office visits, and follow-up appointments.
- Verify patient demographics, insurance information, and required documentation before scheduling.
- Coordinate with providers, nursing staff, and clinical teams regarding procedure preparation instructions, authorization requirements, and special scheduling considerations.
- Monitor scheduling inboxes and ensure timely completion of assigned tasks.
Phone Support & Patient Assistance
- Answer and manage high volumes of incoming calls professionally and courteously.
- Triage and route clinical calls to the appropriate nursing or provider teams.
- Assist patients with appointment scheduling, rescheduling, cancellations, and general inquiries.
- Provide procedural and appointment-related information while maintaining excellent customer service.
- Address patient concerns with empathy, professionalism, and a solutions-oriented approach.
Qualifications
- High school diploma or equivalent required; additional healthcare-related education preferred.
- Minimum of 1–2 years of experience in a medical office, healthcare call center, or patient scheduling role.
- Strong understanding of medical terminology.
- Excellent verbal and written communication skills.
- Ability to multitask, prioritize responsibilities, and maintain accuracy in a high-volume environment.
- Strong organizational and problem-solving skills.
- Proficiency with Microsoft Office and general computer applications.
- Experience working in a Gastroenterology or other specialty medical practice.
- Experience scheduling procedures and specialty appointments.
- Familiarity with EMR systems and task-based inbox workflows.
- Experience processing colonoscopy screening requests.
- Experience using Woven X or similar GI scheduling platforms.
- Knowledge of insurance verification, referrals, and prior authorization processes.
