Job Description

This is a remote position.

Virtual Rockstar is hiring a full-time Patient Services & Executive Virtual Assistant on behalf of a growing naturopathic healthcare practice.

This remote role provides executive, administrative, and patient support for the practice, online programs, and podcast operations. You will work closely with the patient care and media team to help ensure smooth day-to-day operations, organized communication, and an exceptional patient experience.

This is an ideal role for someone who is highly organized, proactive, detail-oriented, and passionate about holistic wellness and helping others.

Key Responsibilities

Executive & Administrative Support

  • Assist with email communications and inbox management

  • Support scheduling for patients, meetings, and business activities

  • Coordinate communications and logistics for online programs and events

  • Manage multiple tasks and priorities while maintaining organization and accuracy

Podcast & Media Coordination

  • Schedule podcast interviews and coordinate guest communications

  • Share promotional materials according to the content calendar

  • Communicate effectively with podcast team members and media contacts

  • Assist with keeping podcast-related workflows organized and on schedule

Affiliate Program Support

  • Organize affiliate resources, schedules, and communications

  • Coordinate with affiliates regarding events and opportunities

  • Track affiliate programs and payouts accurately

Patient & Client Support

  • Maintain professional and empathetic communication with patients and clients

  • Handle sensitive information with discretion and professionalism

  • Build positive relationships through strong communication and follow-through


Tools & Systems

  • Google Workspace (Docs, Sheets, Gmail, Calendar)

  • Microsoft Office (Word, Excel)

  • Email and communication platforms

  • Podcast and scheduling tools



Requirements

  • Strong experience in executive assistance, administrative support, or patient coordination

  • Excellent verbal and written English communication skills

  • Highly organized with strong multitasking and time management abilities

  • Ability to manage multiple inboxes and communications simultaneously

  • Strong proofreading and editing skills

  • Ability to work independently in a remote environment

  • Professional, proactive, and solution-oriented mindset

  • Interest in holistic health and wellness is strongly preferred
